Role

The Document Control Specialist will be tasked with electronically managing documents and records of the company. The Document Control Specialist will be responsible for maintaining an organized and detailed library of project documentation primarily using Hexagon SDX. The Document Control Specialist will be responsible for the administration and control of documents that are received, created, or issued as part of a project in an engineering environment.

The position will report to the Manager of Data Resources at the Reno, NV Business Office. Travel will be required as necessary.

Responsibilities

  • Establish and implement policies and procedures regarding document storage, sharing, transmission, and destruction.
  • Evaluate existing document management systems and procedures to determine current effectiveness and efficiency; identifies and recommends improvements.
  • Consults with end users to identify problems in accessing electronic content.
  • Ensure security of system and integrity of master documents by implementing document and system access rights and revision controls.
  • Ensure company complies with applicable laws and regulations regarding data security and document management.
  • Communicate and consult with staff when assessing, acquiring, or deploying new electronic document management systems integration to ensure smooth transition and minimal disruption.
  • Maintain current knowledge of best practices and developments in document management technologies and techniques through participation in professional organizations or conferences, attendance at meetings or workshops, participation in educational programs, and discussions with colleagues.
  • Maintain an updated document review and distribution matrix.
  • Other duties as assigned.
Requirements
  • Bachelor s degree in business administration, information technology, or related field preferred.
  • Three (3) years of work experience in a related field preferred.
  • Excellent verbal and written communication skills.
  • Willing to learn Engineering Smart Tools systems.
  • MS Teams and SharePoint skills are preferred.
  • MS Office skills required.
  • Excellent organizational skills and attention to detail.
  • Basic understanding of laws and regulations regarding document management.
  • Excellent analytical and technical skills.
  • Excellent and creative problem-solving skills.
  • Familiar with various engineering deliverable types and formats.
