POSITION SUMMARY



Provide welcome and trauma-informed introduction to those entering the ywca during business hours. Oversee YWCA office functions, internal and external communications processes, and provide administrative support. Maintain information support services, including website, social media, mailings, and print materials to support all programs in working together to meet the needs of clients, staff, programs, and agency efforts.

DUTIES AND RESPONSIBILITIES

FRONT DESK/OFFICE FUNCTIONS



Provide initial contact with the public, in person, by phone, and via social media. Coordinate management of in-kind and cash donations
o Enter donations accurately in the donor/sponsor database/CRM and ensure that all transactions, processed in-person or through mail, are captured and acknowledged in a timely, accurate manner.

o Communicate details regarding incoming in-kind donations to appropriate staff and ensure donations are put away in a timely manner.

Financial Processes
o Keep all records and files current and accurate, including cash receipts journal and staff meeting minutes.

o Manage financial records and transactions for event registrations, tickets, donations, memberships, and classes.

INTERNAL COMMUNICATIONS PROCESSES



Coordinate internal and public information sharing Accurately maintain current mailing, donor, registration, and organizational membership databases. Manage event ticket sales and class registrations via the website and other forms of communication. Collect, share, and maintain information on community resources, including print and online resource announcements.

EXTERNAL COMMUNICATION PROCESSES



Ensure all materials and postings reflect YWCA branding and properly incorporate YWCA logo. Coordinate bulk mailing of YWCA newsletter, e-newsletter, and relevant mailing lists. Develop content for website publication and e-newsletters in collaboration with others. Manage social media content as part of the engagement team.

DIRECT SERVICES



Provide crisis intervention in-person and by phone, using a trauma-informed approach. Make appropriate referrals (in-house and outside agencies) as needed to primary and secondary victims of crime and other individuals in crisis. Maintain absolute confidentiality regarding clients and services provided per agency policy.

PROGRAM SUPPORT



Maintain records required for grant compliance, statistical record keeping, and to measure program success. Communicate effectively with supervisor regarding weekly activities, roadblocks and successes. Participate on staff committees for events and activities. Attend all required staff meetings and trainings.

ORGANIZATION



Commitment to the mission, values, and goals of the YWCA. Promote positive public relations and community understanding of program services and activities. Research and submit information to the grant team on pertinent funding sources. Other duties as assigned to ensure agency success.

QUALIFICATIONS



Excellent listening and communication skills, both written and verbal, by phone and in-person. Ability to remain calm, make decisions, and use sound judgment under pressure, stress, and conflict. Excellent office and computer skills. Must be proficient with Excel, payment processing, data management. Organized with an attention to detail. Knowledge of social media platforms. Proficient in design platforms such as

Word Press, Canva, and Microsoft Publisher.

Ability to work effectively with the public, volunteers, and staff, and be self-directed and work as part of a team. High school diploma, some college preferred, plus two years of work experience in marketing/communications. Hold valid driver's license and insurance. Able to lift 40 pounds.

Pay: From $18.00 per hour
