Position Summary:



The Business Office Director plans, organizes, develops and directs the overall operations of the business office; ensures administrative, billing, bookkeeping, payroll and assigned human resources functions are completed in accordance with all laws, regulations and Century Park standards. Reports to the Executive Director.



Qualifications:



A minimum of an associate's degree or equivalent experience. Bachelors preferred. Two (2) years business office management experience or an equivalent required. One (1) year of experience in the senior living industry preferred. Net Solutions, Point Click Care, and ADP payroll software experience preferred. Exude a natural sense of optimism and confidence as a key leader within the community. Ability to confidently stand in for the Executive Director when requested to do so. A natural inclination to engage in high standards of professional conduct while expecting the same from colleagues. Serve as a mature and reliable leadership team member, listening at least as much as speaking.

Primary Job Responsibilities:



Administrative, Systems and Planning:



Plans, develops, organizes, implements and evaluates business office goals, policies and procedures. Maintains compliance between the budget and actual performance in labor and other operating expenses. Both organizes and participates in the formation of high-performance work teams that assist in the achievement of community goals and objectives set by Century Park and/or Lifecare Centers of America.

Office Management Duties:



Performs variety of bookkeeping functions accurately and timely. Performs limited HR duties including, but not limited to: new hire processes; facilitating orientation; managing LOA; workers compensation; setting up and maintaining associate personnel and medical files; generation of I 9s using E Verify. Safeguards the confidentiality of documents, records, files and other sensitive information to include: personnel and medical files, I 9's, payroll records, and resident files. Serves as community steward over petty cash funds and administration. Oversees cash responsibilities including accurately posting, tracking and analyzing cash receipts and disbursements. Verifies resident account charges and final statements are accurate and timely. Makes bank deposits daily or as needed. Maintains complete and current financial records of residents. Maintains the billing system for monthly rents and level of care charges (AL only). Assists with surveys, auditors, and inspectors. Manages the payroll function involving timecards, timesheets and related payroll records. Monitors and reports on time clock issues such as missed punches, no lunch taken and other deviations from the expected. Works with ADP to submit quarterly payroll tax returns and federal and state withholding taxes. Processes 1099s annually. Serves as the community representative for the benefits programs (i.e., medical, dental, short-term disability and 401(k)) Oversees necessary payroll accounting and tax returns for federal, state and/or local agencies. Provides accounting support and/or training to Department leaders. Ensures census is accurate in Electronic Health Record (EHR) system - proper match between Welcome Home and Point Click Care census. Recruits, supervises and evaluates all Concierge associates. Gives them meal relief when needed and spends sufficient time in observation of their work to suggest in-service training that would improve their customer service. Manages the execution of the HCA on-line training software within the community. Assists with trouble shooting the software when needed. Monitors monthly compliance by all associates and communicates to peers associates requiring additional attention to stay caught up.

Supervisory Requirements:



Recruits, selects, hires, trains, evaluates, supervises, and counsels business office team as needed, including all Concierge staff and the Assistant Business Office Manager. Schedules department hours appropriately, and helps cover Concierge shifts when necessary. Serves as an effective role model by being approachable, with an open-door policy, and being absolutely trustworthy when it comes to payroll and Human Resources information and the contents of resident and associate files. Treats all associates respectfully and provides timely feedback both for correction (progressive discipline) and celebration of accomplishment. Conducts timely annual reviews.

Gracefully accepts supervision when offered from the Executive Director of the Support Center accountant. Maintains confidentiality of all proprietary and/or confidential information Demonstrate effective written and verbal communication skills. Be organized with attention to detail. Prioritize assignments and duties appropriately, allowing you to meet deadlines. Work steadily and efficiently, even when at times faced with frequent interruptions. Multi-task effectively - demonstrates ability to manage multiple assignments and duties without significant disruption. Understand and follow company policies including harassment and compliance procedures. Adhere to the Century Park's Code of Ethics. Completes all required compliance training.
