Job Description


Overview: The College of Engineering Dean\'s Office is seeking a professional and highly-motivated full-time Business Assistant III with knowledge and related experience to coordinate business functions for the college. The successful candidate will initiate, complete, and facilitate scholarship and tuition waiver application, as well as financial, personnel, travel, and other functions as assigned. This position will report to the Financial Officer for the College of Engineering, but work closely with the other business services team members and other staff throughout the college. Responsibilities:

  • Coordinates with departments to process tuition waivers for the College of Engineering.
  • Ensures scholarships are reconciled for the College.
  • Provides support to the Financial Officer.
  • Develops and maintains spreadsheets to track information for items such as tuition waivers, scholarships, etc.
  • Evaluates monthly financial reports for dean\'s office in conjunction with the Financial Officer.
  • Attaches receipts and process p-card transactions for dean\'s office staff.
  • Performs human resource functions, including payroll, job postings, hiring hourly workers, and processing employment action forms for all benefited jobs in the College of Engineering.
  • Initiates and reviews travel authorizations and reimbursements for dean\'s office and other college departments. Can help make travel arrangements such as lodging, flights, etc.
  • Understands and implements current USU employment policies.
  • May provide coordination of documents required for business transactions.
  • Serves as backup for other college departments as needed in areas including payroll, travel, and student hiring.
  • Helps create new indexes and fund codes as needed.
  • Performs miscellaneous job-related duties as assigned.

Minimum Qualifications
  • Six years of related work experience; or an associate degree/technical training plus four years of related work experience; or a bachelor\xe2\x80\x99s degree in a business field plus two years of related work experience is required.

Preferred Qualifications
  • Competent in the use of computer programs including Microsoft Office (i.e., Excel, Outlook, Word).
  • Working knowledge of Banner, Argos, AggieTime, ServiceNow, Aggie Handshake, and iCIMS.
  • Experience with USU scholarship and tuition waiver awarding.
  • Experience with USU policies and procedures, particularly in regards to travel.
Knowledge, Skills, and Abilities
  • Knowledge of accounts payable procedures.
  • Knowledge of accounts reconciliation and ability to reconcile accounts.
  • Knowledge of methods, practices, and terminology used in preparing and maintaining financial and statistical records/reports.
  • Knowledge of purchasing policies and practices for a public institution.
  • Skilled with computer programs, including spreadsheets, relational databases, and statistical packages.
  • Skilled with basic office equipment, including printers, copiers, and telephone systems.
  • Good organizational skills.
  • Ability to handle sensitive and confidential business data and personal information.
  • Ability to work without supervision.
  • Knowledge of University policies and procedures.
  • Excellent customer service skills.

Advertised Salary: Minimum $40,000; Commensurate with experience, plus excellent benefits ADA: Employees work indoors and are protected from weather and/or contaminants, but not, necessarily, occasional temperature changes.
