Business Administrator
Situation in Organization
This position reports directly to the Regional Group President, Thiochemicals.
Job Dimensions
The role of the BU Administrator is to provide support to key members of the Thiochemicals BU leadership team and certain functions for the BU. The main responsibilities of the BU Administrator will include: Contract Management, BU Administrative functions such as administrative project management, scheduling and planning of events and meetings, presentation formatting, and management of data in the Thioshare site. This role will include an active back-up for SAP pricing administration and month-end closing invoicing procedures. This role will also support certain supply chain functions in clearing routine invoices. Key Activities and Responsibilities Contract Management: (20%):

  • Manage the ContractIN system and all contracts
  • Work with Legal team and Key Business leaders to manage contract process and keep approvals moving
  • Issue formal quarterly reports of open and dormant contracts for actions; arrange for semi-annual reviews
General Administration: (15%)
  • Manage CSR tracking requests for both Environmental and Customer demands (assure all requests are logged and appropriately assigned to correct individuals)
  • Track common-ground reporting requirements
  • Assist in arranging 2-3 community events per year for the BU
Office Management (25%)
  • Arrange key meetings for the BU leadership team, including develop and distribute meeting agendas & materials, site selection, meeting room set-up, meeting supplies, catering needs, A/V, lodging requirements.
  • Assist with travel arrangements for BU leadership team and Arkema France executives as needed.
  • Preparation of effective PowerPoint presentations and other documents/materials for key shareholders and leadership members.
  • Order office supplies, oversee building and equipment maintenance requests.
  • Coordinate office moves when required.
  • Update organizational charts.
  • Manage Thiochemicals SharePoint site, ensure it is regularly updated.
  • Process Purchase Requisitions, manage timely and accurate invoice processing
  • Sending shipments as requested; Manage any BU subscriptions
Sales & Supply Chain Administration (25%)
  • Create various reports for Business, Finance, and Supply Chain Directors
  • Administer rebates, credits and collections, and minor invoicing in SAP
  • Pricing in SAP/ERP system and manage updates and communications regarding pricing.
  • Support logistics and transportation with Monthly invoice payment support
HR Support (15%)
  • Set-up and manage interview schedule for interviewing candidates and arrange travel as necessary.
  • Assist with new hire onboarding through ordering IT assets, requesting appropriate IT access and preparing the office space.
  • Support Employee Rewards and Recognition program; Manage any tuition reimbursement for BU employees
  • Manage any tuition reimbursement for BU Employees

Context & Environment
  • This position is based in the headquarter operations in King of Prussia, PA, which will relocate to Radnor PA late 2024
  • The incumbent operates in a dynamic and fast-paced environment.
  • Willingness/ability to have a flexible work schedule when required.
  • Supports the site HES policy and complies with all regulatory and internal requirements
  • Participates in HES activities provided by site management and Arkema Inc. (e.g. Behavioral Based Safety, SafeStart, etc.)
  • Supports and promotes the reporting of all health, safety, environmental, near-miss, accident or injury incidents

Required Education/Qualifications/Work Experience
  • Minimum 6 years of administrative experience supporting Sr. Executives in a team-oriented environment.
  • High school diploma, BS or AS degree preferred.
  • Experience operating in a multi-regional / global business unit is preferred.
  • Strong SAP and MS office skills (Word & Excel)
  • Strong working knowledge of SAP and Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • SharePoint, Salesforce and Concur experience is preferred

  • Proficiency in data manipulation; strong attention to detail and accuracy.
  • Must be able to manage multiple tasks and projects at the same time and prioritize needs of multiple individuals to ensure needs of all team members supported are met in a timely fashion.

  • Professional demeanor and ability to maintain confidentiality
