FCA Asset Management is looking for an Assistant Property Manager to join our small (but strong!) team. In this role, you'll work to assist the Senior Property Manager with all aspects of community operations including resident relations, leasing, and supporting maintenance. Honesty, integrity, and a good work ethic are essential components to be successful in this position. Job Duties include, but are not limited to:
Leasing
Manage the leasing process from tour to move-in, including closing the sale, completing lease documents, securing the deposit, inspecting units to ensure apartment is ready for resident to move-in on agreed date, and orienting new residents to community.
Answer all telephone calls and greet all in-person visitors. Responds to email/online leads. Answer inquiries and provide rental information in an enthusiastic and positive manner.
Monitor and update unit availability and leasing details as needed across marketing platforms (i.e. Apartments.com and website).
Coordinate the unit turnover process by inspecting vacant units and communicating related service needs to the Senior Property Manager to ensure timely availability per company standards.
Update availability report, process applications for approvals. {i.e., credit check, rental history, etc.) Submit processed applications to the Senior Property Manager for approval. Follow up with applicant regarding status.
Demonstrate strong attention to detail while preparing lease documents, resident files, applications for approval and other tasks.
Assist in monitoring renewals. Prepare, distribute and follow-up on renewal notices.
Maintain accurate and in-depth knowledge of the community and competitors in the industry to give potential residents all the information they need to make their decision and complete bi-annual market reports.
Resident Retention
Receive all telephone calls and in-person visits. Listen to resident requests, concerns and comments.
Immediately complete maintenance work orders and inform the maintenance team.
Accurately answer questions for residents about community, repairs, rent, rules, etc. Follow up on a timely basis if unable to respond to residents on all matters.
Ensure all maintenance repairs are handled satisfactorily by contacting residents with completed Service Requests
Maintain open communication with Senior Property Manager and maintenance.
Contribute to cleanliness and curb appeal of the community on continuing basis.
Administrative
Serve as a primary point of contact for residents, prospective tenants, and partners. Handle all inquiries and concerns with a focus on customer service and building strong positive relationships.
Accept rental payments and give immediately to Senior Property Manager.
Maintain and update current resident files.
Manage inventory of marketing materials and guest parking passes.
Put together leasing packets, generate violation letters, file necessary paperwork, and prepare renewal leases.
Assist management team with other various tasks as required.
Consistently implement and enforce all policies of the community.
QUALIFICATIONS/ REQUIREMENTS
High School Diploma or GED required; Bachelor's degree preferred.
Previous work experience / education in property management, real estate, or a leasing agent role is great, but not required.
Illinois Leasing Agent License preferred, but not required. Must obtain license, if hired.
Basic knowledge of Microsoft Office Suite including Word, Excel, and Outlook.
Yardi Property Management Software experience preferred.
Basic math skills, including the ability to calculate pro-rated rent.
Detail oriented and strong organizational skills.
Must be able to communicate effectively with a wide variety of individuals and personalities while maintaining professionalism and respect through all interactions.
Participate in training to comply with new or existing laws.
Knowledge of Fair Housing Laws.
Saturdays required.
Must have a valid driver's license and must have reliable transportation.
Must have a safe driving record, and current proof of automobile insurance.
U.S. work authorization.
Physical requirements: frequent sitting, walking, stairs, standing, and reaching.
COMPENSATION / BENEFITS
Competitive pay based on experience (salary range: $55,000 - $60,000)
