Administrative Manager | Western Pennsylvania Oral & Maxillofacial Surgery (Washington, PA)

Western PA Oral & Maxillofacial Surgery (WPOMS) is seeking a skilled Administrative Manager to oversee the daily operations of our administrative team and ensure smooth, patient-centered practice management.

We are looking for an Administrative Manager who can bring strong leadership, organization, and problem-solving skills to our administrative operations. As Administrative Manager, you will play a vital role in supporting both the patient experience and the success of the practice by ensuring administrative workflows are efficient, compliant, and aligned with the practice's goals.

Typical working hours for this full-time position are Monday through Thursday from 7:00am -4:30pm, and Friday 7:00am - 1:30pm.

Key Responsibilities: As the Administrative Manager for a surgical specialty office, you will:

Lead, manage, and develop the administrative team, ensuring accountability, accuracy, and efficiency across all front-office operations. Establish clear expectations, provide real-time feedback, and foster a culture of ownership and performance.

Oversee daily workflows and staffing needs, reviewing schedules, patient flow, and team assignments to ensure resources are aligned with operational priorities and patient volume.

Implement and sustain structured training programs and SOPs, ensuring team members are proficient, compliant, and confident in their roles. Regularly evaluate and update procedures to reflect best practices.

Lead recruitment, onboarding, and performance management for administrative staff--hiring the right talent, conducting orientations, managing scheduling and time-off, and supporting long-term career growth.

Oversee financial and operational accuracy, including daily deposits, reconciliations, and documentation compliance to support practice reporting and financial integrity.

Collaborate with practice leadership on business planning, performance metrics, and team development initiatives that promote accountability, consistency, and operational success.

Qualifications

Required Skills and Attributes:

Proven ability to lead, coach, and motivate a team in a healthcare or dental setting

Excellent organizational, communication, and problem-solving skills

Strong attention to detail and ability to manage multiple priorities

Knowledge of HIPAA, OSHA, and healthcare compliance regulations

Professionalism, discretion, and sound judgment in handling sensitive matters

Proficiency with Microsoft Office and practice management software

Education & Experience:

Associate's degree required; Bachelor's degree preferred

Minimum 3 years of leadership or management experience in a medical, dental, or healthcare setting, required.

Demonstrated experience with staff supervision, training, and performance management, required.

Proficiency in practice operations, insurance processes, and patient scheduling, required.

Equivalent combination of education and experience may be considered.

Pay: $45,000.00 - $65,000.00 per year
