Job Description


The Administrative Coordinator position is a high-energy job consisting of a wide diversity of tasks, which form the organizational, clerical, personnel activities, and communications support for the Director of Environmental and Nutritional Services. Candidate must be able to work independently, making decisions and addressing matters for the Nutritional and Environmental Services Team as needed. Assists with ensuring departmental compliance with all applicable State and Federal laws, regulations, and policies governing the provision of health care. Familiar with standard concepts, practices, & procedures. Uses good judgment to plan and accomplish goals. Works under general supervision from Director of Nutritional and Environmental Services. A certain degree of creativity & latitude is required. Able to interface with customers, both internal and external, in professional and effective manner. Responsibilities

  • Develops processes for maintaining and tracking of departmental policies and procedures, objectives, quality assurance program and safety standards.
  • Conducts initial interviews with potential employees, reports recommendations to Director.
  • Prepares check requests for department and submits for appropriate approval.
  • Composes letters and memoranda from dictation, verbal direction or from knowledge of hospital policy or procedures.
  • Creates and edits correspondence, reports, policies, procedures, committee minutes, manuals, forms, special projects and related material. Initiates other documents and correspondence as appropriate.
  • Reserves conference rooms as needed.
  • Maintains adequate levels of office supplies and ensures office equipment is in good working condition.
  • Schedules appointments, maintains and updates daily calendar for the Director as needed.
  • Maintains efficient filing system and databases in an organized and professional manner.
  • Opens and routes non-confidential incoming mail. Distributes correspondence and other material to departmental staff.
  • Takes on special projects as assigned. Attends meetings as required.
  • Maintains paper and computer files in an organized and professional manner.
  • Answers telephones, routes callers, takes messages and serves as a resource to other departments and outside callers for information regarding the hospital as appropriate.
  • Provides assistance in the day-to-day administration of the department.
  • Schedules and coordinates meetings initiated by the Director, including assisting in preparation for meetings by preparing meeting packets and distribution of materials. Responsible for notices, confirmation of attendance, room preparation, catering orders, presentation Power Points, and minutes, etc.
  • Assists in plan development and revision for department related projects. Computer assisted design and sketch work prints.
  • Assist Director by drafting preventive maintenance schedule. Maintains records according to regulatory agencies. Draft written reports as necessary
Education Required:
  • High School Diploma or equivalent
  • Associates Degree or certification - Preferred
Experience Desired:
  • 3 years\xe2\x80\x99 experience working in an administrative capacity.
  • Knowledge of medical terminology.
  • Knowledge of Excel, Word, Adobe, Microsoft Office, etc.
Job Type: Full-time Pay: $19.00 - $22.00 per hour Benefits:
