Administrative Coordinator (day Support Program)

Job Description


The Administrative Coordinator is responsible for coordinating and assuring the implementation of all administrative support duties for daily Day Supports operations. This role works closely with the Day Supports Program Manager to ensure smooth day-to-day operations and completion of all administrative responsibilities.

Essential Responsibilities:

  • Assist Program Manager with new employee orientation and training.
  • Using a person-centered care approach, complete all paperwork required by licensing such as intake forms, 45-day and annual reviews, case notes, and billing.
  • Complete quality record audits; report issues within 1 business day to the Program Manager for follow up
  • Provide clerical support including scheduling of annual reviews and regular team meetings.
  • Manage scheduling functions; invite participants and ensure meetings are scheduled within required due dates.
  • Manage the service records in accordance with licensing regulations and program policies and procedures.
  • Document in the electronic health record system within 1 business day of service.
  • Provide excellent customer service in all interactions.
  • As a mandated reporter, respond and report all incidents that occur while providing services to protect the health and safety of and minimize risk of harm to the person(s) served following Accord\xe2\x80\x99s policy.
  • Serve as a representative of the agency to the people we serve, our community partners and external constituents. Serve as a positive role model for other employees.
  • Complete all training related to the position.
  • Perform other duties as required or assigned.
Requirements

Education:

Meet one of the qualifications listed below and provide documentation of them including a copy of the degree earned and your transcript showing the date awarded and the degree earned and a resume which documents the year(s) of direct care experience and populations served.
  • A four-year bachelor\xe2\x80\x99s degree in a field related to human services and one year of full-time work experience providing direct care services to persons with disabilities or persons age 65 and older; OR
  • An associate degree in a field related to human services and two years of full-time work experience providing direct care services to persons with disabilities or persons age 65 and older; OR
  • A diploma in a field related to human services from an accredited postsecondary institution and three years of full-time work experience providing direct care services to persons with disabilities or persons age 65 and older; OR
  • A minimum of 50 hours of education and training related to human services and disabilities and four years of full-time work experience providing direct care services to persons with disabilities or persons age 65 and older under the supervision of a staff person who meets the qualification identified above.
If you hold a Social Work degree, we expect you to be licensed by the Minnesota Board of Social Work, as required.

Skills & Experience:
  • Reasoning Ability: Ability to read, write and perform math skills (i.e. calculating percentages); ability to solve problems; ability to accept/follow through with direction and recognize professional boundaries. Ability to serve as a creative team member who can suggest and implement strategies to enhance the service; demonstrate patience, self-control and flexibility. Strong analytical thinking skills and the ability to think through and propose solutions to complex problems.
  • Certificates/Licenses/Certifications: Approved Background check is required.
  • Technology: Ability to use available technology effectively (including, but not limited to, voicemail, computer, printer, photocopier, fax and telephone, and various types of audio visual equipment).
  • Physical Demands: Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. Speaking and hearing ability sufficient to communicate effectively by phone or in person at typical volumes. Vision adequate to read correspondence, computer screen, forms, etc. Good manual dexterity. Position requires moderate lifting that would be typical in an office setting.

The employee must react appropriately in times of crisis, which may include verbal and physical aggression by the people served and/or employees. Must recognize and take appropriate action if suspected abuse of a minor or vulnerable adult is present. The employee in this position typically works in an office atmosphere. The employee will also be exposed to outdoor weather conditions during some agency events and when traveling on company business.
  • 245D Writing Experience (HIGHLY PREFERRED)
Schedule & Commitment:

The employee in this position typically works Monday through Friday, day hours. Must be flexible to work evenings and weekends as required by management. The noise level in the work environment is usually moderate.
