We are an established Real Estate Management Company that manages over 100 investment properties throughout Oregon and Washington. As a team, we accomplish objectives through integrity, leadership, communication, trust, loyalty, quality, and commitment. We are currently looking for Administrative Assistant. Spanish Speaking preferred.

POSITION: Administrative Assistant

LOCATION: Portland, Oregon

CLASS: Salary, Non-Exempt

SHIFT: Days \xe2\x80\x93 8:00 AM \xe2\x80\x93 5:00 PM (lunch break between 12:00 and 1:00)

Monday through Friday

Minimum Job Requirements:

\xc2\xb7 Two (2) years administrative, secretarial or clerical experience

\xc2\xb7 Advanced knowledge of Microsoft Office (Word, Excel, Publisher, Outlook)

\xc2\xb7 Regular and on-time attendance

\xc2\xb7 Excellent verbal and written communication skills

\xc2\xb7 Excellent organizational skills

\xc2\xb7 Professional demeanor and appearance

\xc2\xb7 Internet literate

\xc2\xb7 Ability to learn processes and procedures quickly

\xc2\xb7 Capable of working in a fluid environment with a can-do attitude

Essential Duties and Responsibilities include the following:

\xc2\xb7 Complete and stay on top of all tasks delegated by regional managers and supervisor

\xc2\xb7 Manage the entire abandonment process from start to finish for properties in your portfolio

\xc2\xb7 Process rent increases annually

\xc2\xb7 Mail resident bills monthly

\xc2\xb7 Be able to process rent payments received at the corporate office

\xc2\xb7 Train and be a resource for community managers

\xc2\xb7 Maintain constant correspondence between regional managers and community managers

\xc2\xb7 Cover the front desk when the receptionist is absent \xe2\x80\x93 includes processing and tracking applications

\xc2\xb7 Process notices including 30 day, 72 hour, etc.

\xc2\xb7 File FED\xe2\x80\x99s and pull DMV records

\xc2\xb7 Complete community newsletters and miscellaneous fliers

\xc2\xb7 Orchestrate Quarterly Manager Meetings by fine tuning the agenda and inviting attendees

\xc2\xb7 Complete assigned tasks on community onboarding and offboarding checklists

\xc2\xb7 Complete assigned tasks on employee onboarding and offboarding checklists

\xc2\xb7 Maintain website by keeping information current

\xc2\xb7 Create and update procedures

\xc2\xb7 Update certain registrations for communities
