POSITION DESCRIPTION:

PERIKIN Enterprises maintains a contract with the Department of Energy\'s National Nuclear Security Administration (NNSA) Office of Global Material Security (GMS) (NA-21). The GMS mission is to prevent terrorists from acquiring nuclear or radioactive material that could be used in an attack on the United States, its interests, or allies. GMS works with partners worldwide to secure nuclear and radioactive material and to detect and deter the trafficking of this material. GMS is comprised of three offices: International Nuclear Security, Radiological Security, and Nuclear Smuggling Detection and Deterrence. This position could potentially support any of these program offices or the GMS Front Office.

The role of the Action Officer is to provide direct support to GMS senior leadership by facilitating workflow and communication between the GMS Front Office and its three offices, as well as with the Office of Defense Nuclear Nonproliferation. This position entails familiarity with providing administrative support, executive assistance, attention to detail, and eagerness to learn.

This position currently works a hybrid schedule with two days per week of scheduled telework. (On-site at DOE Headquarters)

PRIMARY JOB DUTIES

Essential duties involve, but are not limited to, the following:

  • Receive, process, and coordinate office-level responses to multiple requests for information (in the form of executive "taskers") daily. Prepare and edit documents, briefings, and spreadsheets for consistency/accuracy and consolidate input from multiple stakeholders. This effort varies from day to day and includes regular communication (such as daily status updates and other instant messaging) and ad-hoc verbal communication, with any decision(s) being accurately transcribed to email for records purposes.
  • Quickly triage tasker emails as they are received and determine if the request pertains to GMS equities or if the office has fulfilled a similar request recently that could be recycled. Otherwise, provide clear direction to the program offices about what is needed, adding additional value beyond the content already listed in the tasking from GMS\'s parent office.
  • Regularly and clearly communicate the status of all taskers to the customers being directly supported. Ensure all deadlines are met with federal clearance obtained prior to official submission.
  • Provide support in analyzing and developing processes/procedures for addressing internal business operations in coordination with the government.
  • Maintain situational awareness of the status of within-scope government programs for the purposes of management reporting, integrating workflow, and administrative planning.
  • Organize and maintain historical records of strategic program messaging, priorities, and responses to DOE/NNSA requests and those external to DOE/NNSA (i.e. Congressional, international partners, GAO, OPM). This includes maintaining a thorough understanding of historical messaging (especially at the policy/strategic level) to aid as appropriate.
  • Attend and organize, as requested, program meetings to remain informed about program priorities, policies, and staffing. This will occasionally involve preparing meeting materials and recording minutes, reserving meeting spaces, greeting and escorting official visitors, or presenting on behalf of senior executives.
  • Scheduling responsibilities as requested.
EDUCATION & EXPERIENCE
  • 4-year degree from an accredited university in business administration, public administration, management, international studies, or a related field.
  • 3 years of relevant professional experience
KNOWLEDGE, SKILLS, & ABILITIES
  • Excellent communication skills, orally and in writing.
  • Expertise in the use of Microsoft Office Suite, including Teams and SharePoint.
  • Self-motivated, proactive, and professional.
  • Able to manage the workload and prioritize tasks in a fast-paced environment.
  • Must be able to regularly meet or exceed short turnaround deadlines.
  • Experience with working with senior management.
  • Time management, problem-solving, and organizational skills are critical.
  • Ability to obtain and maintain a DOE Q-level clearance.
  • Must be able to work independently and as a team.
  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift a min of 15 pounds at times.
  • Travel to domestic and international locations may be required, as requested. (Up to 15%).
