We are seeking a highly organized and detail-oriented professional to join our team as an Accounting and Administrative Assistant. Reporting to the Corporate Controller, this role supports the smooth operation of our office while managing key financial tasks including accounts receivable, accounts payable, and backup payroll processing. The ideal candidate is proactive, trustworthy, and comfortable juggling multiple responsibilities in a fast-paced environment.

Key responsibilities will include but are not limited to the following:



Provide excellent customer service to clients, service providers, visitors, and employees by demonstrating high regard and respect for all individuals in person or on the phone. Maintain general knowledge of AAF services and assist with triage of calls. Manage day-to-day office operations Maintain organized filing systems (digital and physical) Support onboarding new employees and assist with HR-related documentation Assist with yearly company audit Run company errands as needed Plan and help coordinate company events Organize and manage purchase of AAF attire for staff Pay company phone bill and manage US company phones through Verizon Billing for specific customers (Future), including miscellaneous billing as needed Reconciliation of bank statements Accounts Receivable for Denarius Trading Company (AAF Subsidiary) Manage accounts and perform basic bookkeeping Perform data entry and analysis Process expense reports Adhere to all company policies and procedures Assist with additional projects, as assigned.

Accounts Receivable:



Generate and send invoices to clients Monitor incoming payments and follow up on outstanding balances Reconcile customer accounts and maintain accurate records

Accounts Payable:



Process vendor invoices and ensure timely payments Match purchase orders with invoices and resolve discrepancies Reconcile customer accounts and maintain accurate records

Payroll Support:



Serve as backup for payroll processing during absences or peak periods Assist with time sheet collection and verification Ensure compliance with payroll policies and procedures

Key attributes and skills required:



Proficiency in office software like Microsoft Office, Google Workspace, and scheduling tools to manage tasks efficiently Excellent communication and organizational skills Time management skills to handle multiple tasks, prioritize work, and meet deadlines Attention to detail for accurate data entry, proofreading documents, and maintaining records Problem solving to address scheduling conflicts, office supply shortages, or other unexpected challenges Ability to work independently and adapt to change in a fast-paced environment Customer service to assist clients, visitors, and team members professionally and courteously Discretion and confidentiality when handling sensitive information, such as financial records or employee documents

Education and experience



Associate degree from a two-year college or technical school in Accounting, Business Administration or related field, plus 1-2 years of experience in office administration and accounting functions, OR a combination of related experience, education and training.

Schedule & Compensation:



This is a full-time, year-round position with hourly pay located in Eliot, Maine commencing as soon as possible.

Monday to Friday 8:00am - 4:00pm $20.00 - $23.00/per hour - based on qualifications and experience
