The Veterinary Operations Manager oversees the daily operations of our high-quality, high-volume spay/neuter and community veterinary clinic and leads the development of key lifesaving programs, including TNR, vaccine and microchip events, intake diversion services, and other community medical initiatives.
This position ensures that all veterinary and community health programs are efficient, compliant, and mission-driven, expanding access to care while supporting overall rescue and adoption efforts. The Veterinary Operations Manager collaborates across all departments to align clinic operations, foster care, and public programs under a unified strategy that promotes community-led sheltering and lifesaving care.
Core Responsibilities
Clinic & Medical Operations
? Oversee daily clinic operations, ensuring smooth flow of spay/neuter surgeries, wellness appointments, and client communication.
? Manage veterinary scheduling, staff assignments, and daily workflow.
? Ensure proper handling, logging, and security of controlled substances (DEA compliance).
? Maintain medical supply inventory and coordinate ordering and vendor relationships.
? Develop and maintain medical SOPs, anesthesia protocols, and sanitation procedures.
? Coordinate care for HSMC animals needing surgery, vaccines, or medical evaluation.
Leadership & Team Development
? Provide strategic oversight and day-to-day supervisionof veterinary staff and volunteers, including Licensed Veterinary Technicians (LVTs), veterinary assistants, and community clinic volunteers, ensuring alignment with organizational goals and standards of care.
? Foster a culture of collaboration, accountability, and compassion, modeling inclusive leadership and promoting trust, open communication, and mutual respect across teams.
? Design and implement staff development initiatives, including onboarding, continuing education, mentorship, and performance management systems that support growth and retention.
? Lead recruitment and talent acquisition efforts, partnering with leadership to identify staffing needs, attract mission-aligned candidates, and build a resilient, high-performing team.
Program Management (TNR, Community Care & Intake Diversion)
? Oversee the Trap-Neuter-Return (TNR) program, including scheduling, communication with trappers, and data tracking.
? Lead intake diversion efforts, providing low-cost or subsidized services to help community members keep pets out of the shelter system.
? Organize and manage community vaccine, microchip, and wellness events, including staffing, logistics, and reporting.
? Partner with local agencies, rescue groups, and municipalities to expand access to veterinary services across Mason County.
? Track program outcomes, including surgery counts, community impact, and participation metrics.
? Work with the Executive Director to develop new programs that align with HSMC's strategic priorities for community animal care.
Compliance & Safety
? Ensure compliance with DEA, DOH, and OSHA standards for safety and controlled substances.
? Conduct internal audits of logs, sanitation, and staff safety practices.
Coordinate staff training in zoonotic disease prevention, low-stress handling, and anesthesia safety.
Collaboration & Communication
? Work closely with the Executive Director and Director of Finance on budgets, purchasing, and operational reporting.
? Partner with the Foster and Adoptions departments to ensure timely medical care for animals.
? Serve as a liaison to external veterinary partners and community organizations.
? Communicate effectively with staff, fosters, clients, and volunteers to maintain transparency and efficiency.
Qualifications
? 3-5 years of experience managing and leading teams, with a demonstrated ability to foster collaboration, drive performance, and support professional growth.
? Strong knowledge of HQHVSN operations, shelter medicine, and community veterinary care.
? Experience developing or managing programs such as TNR, vaccine/microchip events, or intake diversion.
? Excellent leadership, organizational, and communication skills.
? Proficiency with Shelterluv, ClinicHQ, or similar software.
? Strong understanding of DEA, OSHA, and veterinary regulations.
? Demonstrated ability to manage multiple priorities and meet deadlines in a fast-paced environment.

The schedule may include occasional evenings, weekends, and off-site events to support outreach and programmatic needs.
