The Wedding Planner and Venue Manager position at The Clyde is very important. This individual will be in charge of planning and executing the all-inclusive weddings as well as managing all weddings and events that take place at The Clyde.
Responsibilities:
Meeting with clients to discuss their needs and making detailed records of their requests
Serve as an excellent liaison between the client and vendors
Maintaining partnerships with vendors and caterers and enforcing andensuring venue rules are upheld.
Overseeing the set-up, execution and cleanup of events. The event plannershould be on site for the entirety of all weddings.
Meet with the Clyde Market Manager weekly to schedule staff from ClydeMarket to assist with events. Utilize this meeting to also discuss when clients are arriving, room layouts, business closure of the market, and coffee/food/supplies requirements for events.
Conducting site tours for the venue that are informative and organized. Each tour should be walked around the facility as well as shown a presentation that is related to their event; business, christmas party, wedding, etc.
Ensure that client contracts are upheld and that client payments are made in a timely manner using Honeybook or other payment scheduling tools.
Track event expenses and make sure invoices are paid to vendors. An expense report will need to be submitted by the first work day of the following month that explains how much was charged to the client and how much was spent on vendors.
Attend and represent both the coffee shop and venue at local networking events.
The Venue manager is responsible for maintaining order to the venue post events.This means, after events are over, the room should be reset to the coffee shop layout unless otherwise discussed with ownership and Clyde Market Manager. Florals/decor need to be removed at the end of the night. Clientele's personal items need to be stored in one designated area in the back for all events.
A repair and maintenance list should be kept for things that are needed for events. Such as cleaning walls, ensuring seat cushions remain white, making sure hedgewalls stay intact and looking nice both inside and outside, light bulbs are replaced, and informing management of leaks or breakages that need to be fixed. A shared notes page on iphone should be utilized to track this.
Assisting, as needed, with assigned duties that may or may not pertain directly to Clyde events.
Creating and distributing an easy feedback survey using Google Forms for all inclusive clients and corporate clients to fill out.
Generate and execute self promoted events to increase revenue during slow seasons and to meet monthly goals.
