The Receptionist provides front desk and clerical support to the Central Office, primarily assisting the Business, Human Resources, Curriculum, and Pupil Services departments. This role requires strong communication, organizational, and technology skills, along with a high level of professionalism and confidentiality--especially when handling student registration, records, and sensitive employee information. The position reports to the Superintendent and works closely with other Central Office leaders.
Key Responsibilities

Front Desk & Customer Service
Serve as the first point of contact for visitors and callers.
Greet and direct guests with professionalism and discretion.
Answer, screen, and forward calls using a multi-line phone system; take and relay messages.
Maintain a welcoming and secure front desk environment.
Provide daily or as-needed coverage for the switchboard operator.

Clerical & Administrative Support
Support the Business, HR, Curriculum, and Pupil Services departments with clerical tasks.
Assist with district-wide student registration, including documentation verification for in-town and out-of-town students.
Maintain accurate and secure student enrollment records; communicate with families to ensure completion of required forms.
Draft, proofread, and format professional documents (e.g., letters, memos, reports, bid packages) with confidentiality.
Organize and maintain digital and physical files containing personally identifiable information (PII).
Coordinate scheduling, communication, and logistics for department meetings and trainings.
Perform data entry, scanning, filing, and copying with attention to detail.

Mail, Supplies & Equipment
Sort and distribute incoming mail and packages; date-stamp and route Business Office mail.
Handle confidential mail securely and ensure timely delivery.
Operate standard office equipment (copiers, printers, scanners, fax machines, calculators).
Monitor and replenish office supplies as needed.

Other Duties
Support district events, orientations, and professional development days.
Assist with summer programs, internal events, and community outreach.
Maintain strict confidentiality in all duties, especially regarding student and employee records.
Perform other duties as assigned by the Superintendent or Central Office leadership.
Minimum Qualifications

Education & Experience
High school diploma or equivalent (G.E.D.) required.
Clerical training or office experience required; experience in student registration or public school administration strongly preferred.

Technical Skills
Proficiency in Microsoft Office (Word, Excel, Outlook) and/or Google Workspace (Docs, Sheets, Gmail).
Accurate arithmetic skills and data entry proficiency.
Typing speed of at least 35 WPM (after error deduction).
Familiarity with school district procedures for enrollment, residency verification, and records management.
