We are seeking a highly organized and detail-oriented Trucking Operations Coordinator to join our team. This role is vital in managing daily logistics, coordinating shipments, and supporting office functions related to trucking operations. The ideal candidate will possess strong administrative skills, proficiency with office management tools, and excellent customer service abilities. Bilingual skills and experience with QuickBooks or similar accounting software are a plus. Duties
Coordinate and schedule trucking shipments, ensuring timely delivery and pickup
Manage communication with drivers, clients, and vendors via multi-line phone systems and email
Maintain accurate records of shipments, deliveries, and related documentation using data entry and filing systems
Utilize Microsoft Office Suite, Google Workspace, and other computer applications for reporting and correspondence
Handle front desk responsibilities including greeting visitors, managing phone etiquette, and supporting administrative tasks
Assist with office management duties such as calendar management, appointment scheduling, and document proofreading
Support bookkeeping activities using QuickBooks or similar software for invoicing and expense tracking
Provide exceptional customer service support to clients and internal teams
Perform clerical duties including filing, data entry, proofreading, and maintaining organized records
Support personal assistant tasks as needed to facilitate smooth office operations
Maintain all DOT compliance requirements
Oversee IFTA, fuel tax reporting, and trip documentation
Manage permits, registrations, renewals, and state/federal filings
Serve as point of contact during audits or inspections.
Experience
3+ years of trucking operations or dispatch experience
Strong DOT, safety, and trucking compliance knowledge
Prior office management or administrative experience preferred, especially in logistics or transportation industries
Experience with clerical tasks such as filing, data entry, proofreading, and calendar management required
Familiarity with QuickBooks or other bookkeeping software is advantageous
Strong computer literacy including proficiency in Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), and multi-line phone systems
Excellent organizational skills with the ability to manage multiple priorities effectively
Bilingual abilities are highly desired to support diverse client needs
Previous customer service or front desk experience is beneficial
Knowledge of office procedures such as phone etiquette, time management, and document handling will ensure success in this role
Pay: $40,000.00 - $55,000.00 per year
