This is a non-exempt, temporary, part-time position, limited to 1300 hours annually. Individual will be part of a professional, highly motivated team reporting to the Planning Department. The Receptionist will focus on greeting all guests to the building, managing the front desk, and performing support tasks. The position requires strong clerical skills, ability to prioritize and multitask, and familiarity with scheduling.

DUTIES & RESPONSIBILITIES:

ESSENTIAL FUNCTIONS:
Answers incoming calls from internal and external customers, citizens and vendors using a multi-line telephone system
Screens and directs calls to the appropriate party, and takes complete and accurate messages
Directs foot traffic to the correct location for the needed department
Receives and directs packages, mail, and other deliveries to the proper recipient
Schedules for all the conference rooms in the building
Organizes and schedules meetings, training sessions and vendor events
Monitors controlled access doors
Prepares documents, creates and maintains files, and makes copies
IMPORTANT
FUNCTIONS:
Maintains and organizes office supplies
Provides administrative support to the departments as necessary
Performs basic office upkeep to ensure a professional office presentation
Performs other related duties as required
PHYSICAL REQUIREMENTS:

Work is usually sedentary and done in a seated position, but requires frequent moving about, standing, bending, kneeling, reaching, or stooping to perform filing

The incumbent must be able to hear all communication from customers and employees by telephone or in person, and use vision to work with written documents, forms, and to respond to employees and customers

All Microsoft Office applications, with a focus on Outlook, Word, and Excel
Skill to perform data entry at moderate speeds, and use a computerized system to query for information

Requires ability to:
Work successfully with and provide good customer service to supervisors, other City employees, the public and other agencies and organizations

Communicate effectively both verbally and in writing

MINIMUM QUALIFICATIONS:

In addition to the required knowledge, skills, and abilities, the position requires:
A high school diploma, GED, or higher education;
At least one (1) year of successful demonstrated experience in a fast-paced customer service work environment using computers and computer-related equipment and includes multi-tasking, significant public contact, and multi-line telephone communications.
SPECIAL CONDITIONS OF EMPLOYMENT:
The duties in this classification are primarily performed indoors, in a comfortable office environment. The incumbent must demonstrate the ability to meet the physical demands of the job including the ability to retrieve information from various locations and sources when needed. The position requires a great deal of interpersonal communication with City employees, the public, and outside agencies. The individual may be frequently exposed to periods of demanding activity and moderate mental stress. Individual must successfully pass a post-offer background check and a physical.
Due to Federal and State Criminal Justice System access requirements, classifications that access and maintain criminal justice information may also be required, as a condition of employment, to not have been convicted of and/or have pending charges of a felony or misdemeanor crime that would deny or otherwise restrict access to criminal justice information. City of Pueblo Temporary and Seasonal Employee Sick Leave Benefits
Beginning January 1, 2021, all employers in Colorado are required to provide paid sick leave to employees under the Healthy Families and Workplaces Act ("HFWA"). Said leave is accrued at one hour of paid sick leave for every 30 hours worked, up to a maximum of 48 hours.
Per the Act, leave may be used for any of the following reasons:
The employee has a mental or physical illness, injury, or health condition; needs a medical diagnosis, care, or treatment related to such illness, injury, or condition; or needs to obtain preventive medical care.
The employee needs to care for a family member who has a mental or physical illness, injury, or health condition; needs a medical diagnosis, care, or treatment related to such illness, injury, or condition; or needs to obtain preventive medical care.
The employee or family member has been the victim of domestic abuse, sexual assault, or harassment and needs to be absent from work for purposes related to such crime; or
A public official has ordered the closure of the school or place of care of the employee's child or of the employee's place of business due to a public health emergency, necessitating the employee's absence from work.
Consistent with the HWFA, part-time temporary and seasonal employees of the City shall not carry forward more than forty-eight (48) hours of unused sick leave from one year to the next.
