The Technical Records Specialist provides front-line customer service and administrative support to both the Financial Aid Office and the Office of Student Affairs. This position serves as the initial point of contact for students, staff, and visitors, assisting with general inquiries, document intake, and front desk operations. The specialist performs technical records functions such as processing, reviewing, and maintaining student files in compliance with FERPA and institutional policies, while ensuring a welcoming, student-centered environment.
This position balances duties between financial aid processing and front desk operations, promoting collaboration and efficiency across student services.
Typical Job Functions

Financial Aid Support
Receive and log financial aid documents, review for completeness and accuracy.
Follow office procedures to enter information, scan items into student information systems (e.g., Colleague, Etrieve) accurately and maintain compliance.
Respond to financial aid inquiries and provide information about missing documents, forms, or next steps in the aid process.
Assist students with questions, issues and with FAFSA application questions.
Monitor and respond to the Financial Aid Office email inbox.
Communicate and collaborate with Financial Aid staff to ensure a positive student experience.
Student Affairs Front Desk Support
Serve as the first point of contact for students, employees, and visitors; provide courteous, accurate information about the college, services and programs.
Answer phones, emails, and in-person inquiries; triage questions to appropriate departments, assist prospective and current students
Assist with campus and departmental events.
Provide guidance to work-study students
Maintain digital and paper records in compliance with FERPA.
Communicate and collaborate with staff to ensure a positive student experience
General Office Support
Deliver outstanding customer service to students, faculty, staff, and visitors, creating a friendly and welcoming atmosphere
Execute responsibilities, following established procedures and practices, and maintain records in accordance with FERPA compliance.
Prepare correspondence, forms, and electronic files as needed.
Use independent judgment to apply office procedures and resolve routine issues.
Perform other related duties as assigned.
Minimum Qualifications

Experience providing customer service in an office environment.
Proficient knowledge of professional communication standards, including spelling, grammar, and punctuation.
Ability to answer multi-line phones and manage multiple tasks in a busy setting using business telephone etiquette and office procedures.
Experience using alphabetical, numerical, or subject filing systems to include determining file names, setting up new files, classifying, labeling, filing, and retrieving; reviewing documents for compliance with established procedures.
Experience using computer-based record systems and standard office software (Microsoft Office Suite).
Ability to interpret and apply procedures, rules, and regulations.
Experience handling sensitive information with discretion and confidentiality.
Incumbent must reside in Idaho (Currently CEI doesn't sponsor H-1B Visas)
Additional Desired Qualifications

Experience working in a college or educational setting serving a diverse, non-traditional student population.
Experience working with Colleague by Ellucian ERP and/or other major ERP systems.
Bilingual (Spanish).
Sitting, standing, walking, keyboarding, reaching overhead, pushing, pulling, lifting, carrying, gross manipulations (involves hands) and standing or sitting (combination). Employees work indoors and are protected from weather and/or contaminants, but not, necessarily, occasional temperature changes.
On-site work is essential and regular predictable attendance is required. Employees maybe required to work at occasional events and handle tasks outside of regular working hours.
Background Investigations:
Employment at College of Eastern Idaho will be contingent upon the successful completion of a criminal background investigation and may require a credit and/or motor vehicle background investigation depending on the position. Please refer to Policy 225: Background Checks
