What you are good at
The first and central gatekeeper for the Schwab HQ Executive Floor, ensuring concierge level service to all arriving visitors, excellent communication/coordination, and proactive responses to individual needs/requests of executive team
Plan and manage day-to-day access and logistics for the executive floor, including the successful coordination of all support and concierge services
May coordinate messages, appointments, information to callers, file maintenance, department office supplies and mail
Provide centralized support function for executive team, including answering/routing incoming calls and emails, managing access, and announcing and escorting guests and visitors
Serve as a liaison with senior level executives and assistants by developing and maintaining strong relationships with internal/external clients
Coordinate executive floor services, such as food, mail and print, secure destruction, technology, security, facilities, and housekeeping
Partner with Corporate Security management to ensure escalation of any safety/security concerns are addressed in a timely manner.
Order office supplies and submit building and office equipment work orders as necessary
Book meeting and conference rooms as needed
Manage and assemble highly confidential and sensitive information as needed
What you have
Bachelor\xe2\x80\x99s degree (preferred)
4+ years\xe2\x80\x99 experience in guest services, front desk, hospitality, or office management
Experience interfacing with executives and executive assistants
Maintain the highest level of confidentiality with personal/professional integrity and discretion
Excellent organizational skills with the ability to prioritize information, calls, and requests to complete tasks effectively and on time
Ability to exercise independent judgement, decisiveness, sound reasoning and creativity in evaluation information and making decisions
Situational awareness across various social and business settings
Strong interpersonal skills and executive presence
Polished written and verbal communication skills
Self-motivated and critical thinker
Strong attention to details and ability to learn and adapt to new situations and processes
Displays assertiveness and self-confidence
Ability to participate in cross-functional projects and tasks
CPR, AED and first aid certification preferred
