SOME TRAVEL FOR MEETING AND TRAINING IS REQUIRED Michigan Community Health Worker Alliance (MiCHWA) is a statewide, collaborative Michigan 501c3 non-profit organization with the mission to promote and sustain the integration of community health workers (CHWs) into Michigan\xe2\x80\x99s health and human service systems through coordinated changes in policy and workforce development. The Michigan Community Health Worker Alliance (MCHWA) is seeking an Administrative Support Specialist - Operations and Finance to provide crucial bookkeeping and administrative support to the Operations and Finance Department. This position will play a vital role in maintaining financial records, budgeting, accounts payable and receivable, bank reconciliation, grant management, compliance, and audit support. The successful candidate will work remotely and should be proficient in financial software, demonstrate strong communication skills, and possess a high level of attention to detail. You will work directly with the Operations and Finances Manager. You also work closely with the Grants and Program Manager and MiCHWA\xe2\x80\x99s Finance Committee to provide reliable financial information and support MiCHWA\xe2\x80\x99s overall mission. Key Responsibilities: 1. Financial Record Keeping: \xe2\x97\x8f Assist in maintaining accurate and up-to-date financial records. \xe2\x97\x8f Manage accounts payable and receivable. \xe2\x97\x8f Prepare journal entries, general ledger entries, payroll records, and donation records. 2. Budgeting: \xe2\x97\x8f Collaborate with the management team to assist in preparing annual budgets. \xe2\x97\x8f Load approved annual budgets into QuickBooks. 3. Accounts Payable and Receivable: \xe2\x97\x8f Process invoices, payments, and reimbursements. \xe2\x97\x8f Issue invoices for services provided and ensure timely collection of receivables. \xe2\x97\x8f Perform account reconciliations (prepaid expenses, deferred revenue, accounts payable and receivable). 4. Bank Reconciliation: \xe2\x97\x8f Regularly reconcile bank statements, credit card statements, and financial accounts. \xe2\x97\x8f Investigate and resolve discrepancies and errors in a timely manner. 5. Accounting Integrity: \xe2\x97\x8f Adhere to Generally Accepted Accounting Principles (GAAP) for non-profits. \xe2\x97\x8f Ensure consistency, transparency, and legal and regulatory compliance. 6. Grant and Fund Management: \xe2\x97\x8f Assist in tracking grants and funds, ensuring compliance with donor requirements and restrictions. \xe2\x97\x8f Prepare financial reports for grants and assist with grant proposal budgeting and reporting. 7. Compliance and Audit Support: \xe2\x97\x8f Collaborate with external auditors during the annual audit process. \xe2\x97\x8f Provide required financial documentation and assist in addressing audit findings or recommendations. 8. Financial Policies and Procedures: \xe2\x97\x8f Contribute to the development and implementation of financial policies and procedures. \xe2\x97\x8f Ensure adherence to best practices and compliance with relevant regulations. 9. Software and Systems Management: \xe2\x97\x8f Utilize accounting software and systems, including Quickbooks, Melio, Member365, and others as directed. \xe2\x97\x8f Recommend and implement improvements to streamline processes and enhance financial reporting capabilities. Qualifications: \xe2\x97\x8f Experience with Quickbooks, MS Excel, and Google Sheets. \xe2\x97\x8f Strong attention to detail and accuracy. \xe2\x97\x8f Excellent communication skills, both written and verbal. \xe2\x97\x8f Self-motivated, highly organized, and able to work independently. \xe2\x97\x8f Understanding of non-profit accounting and financial management. \xe2\x97\x8f Ability to maintain confidentiality of financial information. \xe2\x97\x8f Prior experience in a similar role is a plus. \xe2\x97\x8f Proficiency in Canvas Learning Management System and Member365 is a plus.
