Why does the job exist?



This position will assist the Operations Deputy Director by coordinating and overseeing key projects and initiatives within Statewide Central Intake, The

Receiving Center and Operations across the state. This position is responsible for driving the successful execution of strategic projects, ensuring alignment with

organizational goals, and maximizing efficiency in project delivery. Assist in program improvement initiatives that support best practice and improved

outcomes for children and families; and assists the deputy director in coordinating, planning and scheduling meetings, with internal partners and stakeholders

including but not limited to executive management, county leadership, and partner agencies.

How does it get done?



25% Project Coordination:



The Operations Project Coordinator will oversee the planning, execution, and completion of projects, ensuring adherence to timelines and budgetary constraints. This includes coordinating project activities, assigning tasks, and monitoring progress to achieve project objectives effectively.



35% Stakeholder Management:



This role involves liaising with stakeholders, including internal teams, external partners, and vendors, to gather requirements, solicit feedback, and ensure alignment with project objectives. The Operations Project Coordinator will serve as the primary point of contact for project-related communications, facilitating effective collaboration and resolving any issues that may arise.



I0% Resource Allocation:



The incumbent will be responsible for resource allocation, including personnel, equipment, and materials, to support project activities. This includes identifying resource needs, coordinating with relevant departments, and optimizing resource utilization to maximize project efficiency.



I0% Documentation and Reporting:



Maintaining accurate project documentation and reporting is essential for tracking progress within Statewide Central Intake and The Receiving Center, identifying risks and communication outcomes.

The Operations Project Coordinator will be responsible for documenting project plans, status updates, and milestones, as well as preparing regular reports for management review.



I0% Quality Assurance:



Ensuring quality standards and best practices are upheld throughout the project life-cycle is paramount. The Operations Project Coordinator will conduct quality assurance checks, perform risk assessments, and implement corrective actions as needed to mitigate risks and ensure project success.



I0% Continuous Improvement:



Promoting a culture of continuous improvement is essential for enhancing project management practices and driving organizational excellence. The Operations Project Coordinator will actively seek feedback, identify areas for improvement, and implement process enhancements to optimize project outcomes and increase efficiency.



Collaboration with Operations Deputy Director:



While the Operations Deputy Director oversees administrative functions and processes statewide, the Operations Project Coordinator complements this role by focusing specifically on project management and coordination. By working closely together, these positions can leverage each other's strengths to achieve overarching organizational objectives without duplicating efforts. The Operations Project Coordinator supports the Operations Deputy Director by ensuring the successful execution of strategic projects and initiatives that contribute to the organization's overall success and effectiveness.

Minimum Qualification



Associate's Degree in Social Work, Psychology, Guidance and Counseling, Education, Sociology, Criminal Justice, Criminology, Family Studies/Services, Social Sciences, or Human Services and one (1) year of experience as a social work assistant and/or in social or community coordination, working with communities, working on health or social service related matters, social work/case management experience, and/or behavioral health care. Any combination of education from an accredited college or university in a related field and/or direct experience in this occupation totaling three (3) years may substitute for the required education and experience.

Employment Requirements



Must possess and maintain a valid Driver's License. Pre-employment background investigation is required and is conditional pending results.

Working Conditions



Work is performed in an office setting with exposure to Visual/Video Display Terminal (VDT) and extensive personal computer and phone usage. Some sitting,

standing, bending and reaching may be required. Travel may be required. Possible exposure to irate clientele. Incumbent will work under stress and frequent

time constraints.
