Van Law Firm is seeking a results-oriented and unique individual to be the point of contact at our office for our clients and guests. This is an extremely important role as this person will provide the \xe2\x80\x9cfirst impression\xe2\x80\x9d of our firm and will help keep the front office running efficiently. Our Front Desk Receptionist will work closely with our in-office Intake Team and will be cross trained for back-up duties when necessary. He/She/They will thrive in a fast-paced environment and enjoy being a part of a robust team who strives in making a difference in the lives of those who have experienced unforeseen injuries and sufferings. This is an immediate hire for a full-time position. Primary Responsibilities
  • Meeting and greeting clients and guests with a professional and welcoming attitude.
  • Answering incoming calls in a timely and professional manner and directing all inquiries to the appropriate team member who can assist in a timely fashion.
  • Keeping the front reception and the meeting rooms tidy and orderly.
  • Recycling and taking out thrash to the curb weekly.
  • Performing general office duties: ordering supplies; dealing with couriers; sorting and distributing mail and packages; opening, copying, scanning, printing, and shredding; running errands; ordering food and refreshments, and other general tasks provided by the operations manager.
  • Utilizing tools to assemble furniture.
  • Maintaining an accurate filing system of all client files.
  • Helping with marketing materials.
  • Overseeing meeting room reservations and planning for refreshments as needed.
  • Backing up and assisting the Intake Client Care Coordinator, including assessing client needs, signing up potential clients, and setting up appointments with the attorney or other team members for additional client conferences.
  • Requesting reviews from clients when needed.
  • Other administrative support duties as required.

Qualifications and skills
  • Minimum of three years of front desk experience working in a law firm environment.
  • Excellent time-management and multitasking ability
  • Excellent verbal communication and written skills.
  • Must value punctuality and attendance at work.
  • Outgoing personality with a neat and professional appearance
  • Skilled at general office operation and administrative support, includes typing, email communications, calendaring, setting up meetings
  • Work well under pressure and able to handle challenging clients.
  • Strong listening skills and ability to follow detailed instructions.
  • Good attention to details.
  • Excellent computer skills and basic understanding of certain productivity computer software (i.e., Microsoft 365, Google Workplace, Slack, Filevine, Hubstaff, etc.)
  • Bilingual in English/Spanish is preferred, but not required.
  • Must be able to pass a background check, and show proof of eligibility to work in the U.S.
