What You'll Achieve in This Role
Lead and Inspire the Administrative Team
Take charge of our administrative team and workflows, patient access management, from performance coaching to workflow optimization. Monitor caseloads and capacity, as well as train and fill in vacancies for the front desk operations. Training on high level professionalism through modeling and creating systems for patients to onboard and get care. Resolve issues with patient care coordination in mind.
You'll assess processes for accuracy and efficiency, implementing innovative solutions that elevate our operations and reduce bottlenecks--proving your ability to handle a larger team with confidence.
Office Readiness
General office duties to ensure the buildings are running well and prepared for each day.
Drive Recruitment, Onboarding, and Talent Development
Coordinate with HR and our marketing team to recruit top talent for our clinical, administrative, and revenue teams. Lead and manage recruitment efforts, collaborating with HR and Clinical leadership on seamless onboarding. Assist with the entire employee life cycle, and learn what makes the ideal Lifespan employee. Your HR savvy will ensure we build a high-caliber team aligned with our goals, giving you the platform to shape the future of our practice.
Oversee Multiple Sites, Vendor, Logistics, and Supply Management
Flexibility to travel between our two company sites (Elkhorn and Omaha.) Handle vendor management, facility logistics, and supply inventory like a pro, ensuring everything runs smoothly and cost-effectively. Your strategic oversight will keep our Omaha sites humming, freeing clinicians to focus on what they do best.
Embody and Cultivate Our Culture
As the on-site embodiment of our values, you'll promote a resilient, accountable environment--organizing team-building assessments and activities that spark camaraderie and solid work ethic. You'll be the executive team's trusted advisor, providing insights on morale, compliance, and opportunities, all while modeling the leadership you've already proven you can deliver.
Champion Compliance and Efficiency
Leverage your knowledge of clinician and scheduling management, HR best practices and regulations (e.g., HIPAA) to conduct audits, resolve issues, and support emergency planning. Assist across teams to manage KPI tracking with Operations and manage clinician productivity. Your role will be central to our success, helping support everyone in achieving expectations for their team - and the clients we serve.
Who We're Looking For: Would You Thrive at Lifespan?
Experience and Education
A Bachelor's degree or Master's in Healthcare Administration, Business, HR, or related field, with 2+ years proven in office management and/or leadership--must be in healthcare or mental health-- this is a non negotiable.
HR certification is a plus, but not required.
Skills That Set You Apart:
Exceptional organizational prowess, problem-solving, and communication skills. You're HR-knowledgeable, boundary-savvy, and ready to lead with integrity--fostering team spirit and a great place to work. Proficiency in tools like task management systems (Asana, Monday, Trello, Notion), EHR systems, budgeting, and vendor management is required. High level of skill using Excel, Word, Google Systems, email, chat and other technology is required.
