Whittier Wood Furniture: Sales Coordinator



Full Time Role

On-Site Required

Start Date: 1/15/2026 to 2/1/2026

Position Summary:

The Sales Coordinator plays a pivotal role in supporting the Sales Department, acting as a communication hub between outside sales representatives, clients, and Whittier's internal departments. This position ensures accurate order processing, provides customer service, manages documentation, supports sales initiatives, and contributes to overall sales department efficiency.

Key Responsibilities:



Sales & Customer Support



Serve as the main point of contact for designated clients and sales representatives, providing timely and accurate communication. Process customer orders, track shipments, and address product and service-related inquiries in accordance with company policy. Maintain organized, up-to-date customer files and ensure consistency across accounts. Respond professionally to consumer product questions and service issues.

Sales Administration



Assist the National Sales Manager with program preparation, rep and account analysis, and special projects. Support fellow coordinators by covering additional territories or responsibilities when needed. Transcribe, edit, and distribute communications from Sales Management and Company Leadership. Prepare sales-related documentation including forms, labels, invoices, and shipping documents.

Representative Management



Maintain accurate records of sales representatives, including contact information, assigned territories, and commissions. Collaborate with outside reps to ensure clear communication and sales support. Educate and support sales staff on company procedures and account expectations.

Trade Shows & Marketing Support



Partner with Marketing on mailers, product announcements, and show-related communications. Assist in the planning and staffing of trade shows, including booth preparation and materials. Track rep and retailer attendance and manage follow-up activities post-event.

Internal Coordination



Collaborate with departments including Shipping, Production, Accounting, IT, and Management to ensure smooth operations and information flow. Work directly with the Demand Manager to address inventory concerns and opportunities. Serve as back-up to the Shipping Administrator, handling logistics paperwork and customer freight needs. Support daily front-office operations, including literature requests, supplies, and administrative tasks.

Freight & Logistics (in coordination with Traffic Manager)



Communicate with our logistics partners to meet customer delivery expectations and freight standards. Audit and support freight claims process and collaborate with A/P on Prepay & Add charges. Ensure alignment between shipping requirements and customer preferences.

Sales Territory Management



Take ownership of a specific sales territory as the internal Whittier contact, handling all Sales Coordinator responsibilities for that region.

Qualifications:



Previous experience in Sales Coordination, Customer Service, or Administrative Support required. Strong communication skills (written and verbal) with a professional and customer-focused demeanor. Proficiency with Microsoft Word, Excel, email platforms, and general office equipment. Highly organized, detail-oriented, and capable of managing multiple priorities. Self-starter with a proactive approach to problem solving. Adherence to Whittier Wood Furniture's Values and Beliefs and all Company policies as outlined in the Employee Manual. Willingness to travel to trade shows or into territory as needed.
