Your Role





Under the general direction of the Director of Finance, the

Revenue Cycle Manager

(RCM) plays a pivotal role in overseeing the medical billing operations of our pediatric outpatient therapy clinic. The successful candidate is responsible for managing all aspects of the revenue cycle, including claims processing, collections, and payer relations. The RCM ensures timely and accurate reimbursement for services provided, maintains compliance with payer and regulatory requirements, and leads continuous improvement efforts across the billing function.



The RCM also leads and executes special projects that support strategic and operational goals, often partnering across departments to ensure projects are completed accurately and on time.




Key Responsibilities




Claim Submission and Denial Management




Oversees accurate and timely claims submission and payment posting within payer contracts. Manages the full lifecycle of claim denials, reconsiderations, and appeals, ensuring timely response, follow-up, and resolution within contractual limits. Designs and implements new processes to reduce future denials and improve claim success rates. Leads high-level denial projects and collaborates with payers to identify and address systemic issues.



Collections and Account Management




Oversees patient billing and account statement accuracy. Leads the collections process in collaboration with the clinical and scheduling teams, ensuring family accounts remain accurate and up to date. Communicates proactively with families regarding overdue balances and, when necessary, notifies them when services must be paused or discontinued due to non-payment. Manages recurring payment plans and monitors compliance with payment agreements. Oversees relationships with collection agencies and ensures timely submission of qualifying accounts.



Follow-Up and Payer Coordination




Manages all billing follow-up tasks in the EMR except authorization-related denials, ensuring timely and accurate claim processing. Investigates claim or payment anomalies, identifies root causes, and implements corrective actions. Partners closely with the Revenue Cycle Liaison and Credentialing Manager to ensure alignment between billing, credentialing, and payer communication workflows. Collaborates with insurance negotiation service providers to ensure accurate data sharing and optimal outcomes for reimbursement and payer contracts.


Audits and Special Projects



Oversees execution of any payer-initiated audits, ensuring timely response, accurate documentation, and compliance with all requirements. Leads and participates in special projects across departments, including system configuration, process improvements, and trend analysis. Conducts research on payer or billing trends and implements findings to enhance efficiency and financial performance.



Policies and Operational Excellence



Develops and implements policies and procedures to ensure compliance with billing regulations and to optimize revenue cycle performance. Oversees EMR billing module configuration and improvement initiatives. Collaborates with cross-functional teams on system and process upgrades related to billing operations.



Regulatory Compliance



Maintains up-to-date knowledge of payer policies, NCCI edits, MUE limits, and regulatory requirements. Provides ongoing education to staff on appropriate billing practices, CPT coding, and payer updates.



Collaboration




Partners with clinical, administrative, and scheduling teams to resolve billing and coding issues. Establishes and maintains relationships with payer representatives to proactively address claim processing challenges. Works cross-departmentally to ensure financial and operational alignment with Playabilities' mission and values.



Reporting



Compiles and presents revenue cycle metrics (e.g., days in A/R, net collection rates, denial rates, and error rates) to leadership. Uses data analysis to identify opportunities for improvement and implement corrective measures.

Education:

Bachelor's degree in healthcare administration, business administration, or related field



Experience and Qualifications:


Minimum of 5 years of experience in healthcare revenue cycle management in an outpatient therapy setting.



Skills/Licensure/Certification/Knowledge:

Certified Revenue Cycle Specialist (CRCS) preferred, but candidates with seven or more years of revenue cycle management experience in lieu of this will be considered. Strong knowledge of medical billing and coding regulations, reimbursement methodologies, and payer policies Demonstrated ability to analyze data and identify opportunities for process improvement Excellent communication, leadership, and interpersonal skills Proficiency with previous EMR systems and moderate to advanced skill level within Microsoft Excel Must be efficient with computers, windows operating system and Microsoft Office
