Cyrtene LLC is seeking applicants for an Administrative Assistant who can support the Executive Director and perform a variety of administrative and clerical tasks The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like Google Mail, Google Docs, Google Sheets, Asana and internal messaging platforms. If you also have previous experience as an Executive Administrative Assistant or Virtual Assistant and you have an interest in our industry (cause), we\xe2\x80\x99d like to meet you.

The key responsibilities of the role include:

  • Serving as the main point of contact, answering calls and correspondences for administrative matters
  • Handling mail coordination between remote mailboxes in Texas and NY, scan, distribute, review/coordinate with HQ.
  • Handling administrative notifications to US employees, US benefits coordination with HQ. \xe2\x80\xa2 Handling administrative requests and queries from senior managers
  • Handling in-person bank transactions when required, including bill paying, wiring, check deposits, etc., in coordination
  • Creating a general workflow
  • Helping to ensure deadlines are met
  • Limited scheduling of appointments and occasional travel (predominantly, but not limited to, the Executive Director)
  • Planning meetings and taking detailed minutes
  • Managing North America (region) travel, logistical coordination for any in-person activities in NY or, very occasionally, other US locations.
  • Acting as a liaison between other professionals in the office
  • Write and distribute email, correspondence memos, letters, faxes and forms
  • Assist in the preparation of regularly scheduled reports
  • Develop and maintain a filing system
  • Update and maintain office policies and procedures
  • Order office supplies and research new deals and suppliers
  • Maintain contact lists EXPERIENCE AND QUALIFICATIONS Essential
  • Proven experience as an Administrative Assistant or Virtual Assistant.
  • Knowledge of office management systems and procedures
  • Access to a working printer and fax machine
  • Proficiency in Google Suite (Mail, Docs, Sheets, and Slides)
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills
  • Must be fully vaccinated against COVID 19
  • Have the right to work in the USA Preferred
  • Professional fluency in languages other than English.
  • Problem solver and doer; someone who just "steps up."
  • Past experience working as part of a remote/virtual team.
