Position: Receptionist and Administrative Support to Executives Status: Full-time, Non-exempt

Supervisor: Executive Office Manager Date: April 26, 2022



The position is responsible for answering all incoming telephone calls, greeting, and directing visitors, and daily mail distribution. In addition, this position will sometimes provide high-level administrative support to the senior executives at Hemophilia of Georgia.



QUALIFICATIONS

  • High school diploma
  • At least three years of office experience.
  • Professional appearance and telephone manner
  • Must have a high level of interpersonal skills to manage sensitive and confidential situations. Position continually requires demonstrated poise, tact, and diplomacy.
  • Proven ability to work effectively in a team environment.
  • Ability to work independently on assigned tasks as well as to accept direction on given assignments.
  • Ability to work without supervision, to use independent judgment, and to make appropriate decisions.
  • Excellent communication skills with the ability to communicate professionally and with confidence to internal and external customers.
  • Excellent planning and organizational skills
  • Ability to supervise and train employees to include organizing, prioritizing, and scheduling work assignments.
  • Demonstrated ability to organize and manage multiple priorities.
  • Capable of working under pressure
  • Proficient in Microsoft Office Suite applications
  • Must be able to lift and carry thirty pounds.



RESPONSIBILITIES

Maintain a positive work atmosphere by acting and communicating in a manner so that you work productively, effectively, and efficiently with customers, clients, co-workers, volunteers, and management.




Essential Functions:
  • Answer and screen all incoming calls.
  • Provide callers with basic information such as company address, directions to company\xe2\x80\x99s location, fax numbers, website, and other related information.
  • Greet visitors and determine whether they should be given access to specific individuals.
  • Direct courier and delivery companies to appropriate personnel.
  • Sort and distribute mail.
  • Refill copy machines with paper daily.
  • Maintain break areas and kitchen supplies. This includes cleaning two break areas, running dishwasher unloading dishwashers daily and deep cleaning the refrigerators quarterly. Inventory kitchen supplies weekly and provide Office Manager with a list of items needed.
  • Maintain the upstairs reception area and keeping it neat.
  • Maintain and arrange Collaboration Room and executive conference area meetings and events.



Additional Responsibilities :
  • Assist Executives and other senior staff members with projects as needed.
  • Additional duties as assigned by the Executive Office Manager.
