Parkdale Senior Living is seeking a Receptionist (Director of Administrative Services) (Full-Time) that will be located in our Downtown Freehold Borough, Support Center. The Director of Administrative Services will primarily support our Executive, Real Estate Development, Investment, and Field Operational Teams. RESPONSIBILITIES & QUALIFICATIONS: Responsibilities: The Administrative Director supports the entire organization and all its programs and activities. The Administrative Director provides administrative guidance, process and systems management and leadership to the organization. The Administrative Director runs the office to ensure efficient, timely and accurate operation of the organization in all aspects of business.

  • Directs and manages all administrative activities in support of the managing company corporate executive and regional support team-members. Promotes and represents the culture of the managing company throughout the organization.
  • Provides administrative support to Executives and Regional Directors of the managing company.
  • Controls and organizes corporate documents.
  • Manages all entity documentation and renewals and ensures online files are kept up to date.
  • Organizes and manages all aspects of annual and executive/regional meetings.
  • Directs and prioritizes tasks and duties performed by Administrative Assistants. Monitors (and assists when necessary) tasks performed by Administrative/Executive Assistants including: Licensure Applications and Renewals, Medicaid Applications and Renewals, Weekly Sales and Marketing Report(s), and general administrative office duties including mail, faxing, office supplies, daily FedEx shipments.
  • Manages all company credit cards and statements, maintains Verizon accounts for corporate and all communities, and manages and maintain appropriate calendar.
  • Provides general support to company by answering telephones in a pleasant manner and directing callers to the appropriate person in a timely manner while screening calls as appropriate.
  • Arranges travel for all management team, including flights, hotels, car rentals. Establishes and maintain corporate filing system and documentation.
  • Ensures all work is done in a safe manner. Compliant with Safety Standard. Should workplace injuries occur, immediate communication with supervisor is required.
  • Fosters teamwork with co-workers, shows initiative in overcoming obstacles, takes actions which assist others beyond job responsibilities, and has a positive impact on co-workers, and visitors.
  • Performs other duties as assigned or needed.
Qualifications: High School Diploma or equivalent required. Associate Degree strongly preferred in Business, Customer Service, or a field related to the position. Minimum five years\' Executive Administrative Management experience in office environment required. Must have pleasant telephone manner, working knowledge of Accounts Payable and Payroll system, and be competent in Microsoft Office. Proficiency in Excel, 10 Key by touch, and other business-related machines preferred. Prior experience in a business office environment preferred. Strong written and verbal communication skills, strong teamwork skills and positive community relations skills. Excellent grammar, and punctuation skills. Self-motivated and has the ability to work independently and make decisions. Utilizes time effectively to complete unfinished tasks within office organization. Able to work well under pressure, resolve conflicts, prioritize tasks, and follow through with ideas. Excellent organizational and time management skills, detail oriented. Pleasant, professional, and personable.
