Job Description



The Receptionist will be responsible for greeting visitors, answering phone calls, offering administrative support across the executive team, and running errands while maintaining professional composure throughout interactions with customers or potential clients.

RESPONSIBILITIES

  • Answer and direct phone calls in a polite and friendly manner
  • Transferring calls as necessary
  • Taking and ensuring messages are passed to the appropriate staff member in time
  • Welcome visitors in a warm and friendly manner, and answer any questions visitors have
  • Keep detailed and accurate records of visitor requests and of calls received
  • Maintain reception area and all common areas in a clean and tidy manner at all times
  • Operate standard office equipment on a regular basis, including a fax machine, a copy machine, and a computer
  • Receive deliveries; sort and distribute incoming mail
  • Take inventory of supplies and restock as needed
  • Maintain the general office filing system
  • Managing meeting room availability
  • Handling executive travel arrangements
  • Providing executive support, including but not limited to Administrative, Scheduling, and Managing expense reports
  • Coordinating internal and external events
  • Managing office inventory such as stationery, equipment and furniture

EDUCATION AND EXPERIENCE

  • High school diploma or GED
  • Associate or bachelor\xe2\x80\x99s degree in communications or business
  • Familiarity with multi-line telephone systems
  • Prior experience with Microsoft Office and typing

  • Experienced professional with high degree of attention to detail and strong time management skills, preferred
  • Adept at prioritizing, scheduling and multitasking
  • Ability to handle office equipment (e.g., the telephone system, printer and the fax machine)
  • Fast and eager learner
  • Expected to work at T5 Headquarters office 5 days a week
