Position Title: Receptionist

Corps/Department: Divisional Headquarters (DHQ)

FLSA Status: Full-time; Non-Exempt

Reports To: Divisional Secretary (DS)

Rate of Pay: $15.00 -$17.00 per hour

Schedule: 8:30 a.m. to 4:30 pm. Monday through Friday

Education and Work Experience:

  • High School Diploma - or the equivalent (for example, GED)
  • Proven administrative or assistant experience
Knowledge, Skills and Abilities Required:
  • Writing - Communicating effectively in writing as appropriate for the needs of the audience,
  • Speaking - Talking to others to convey information effectively.
  • Reading Comprehension - Understanding written sentences and paragraphs in work related documents.
  • Active Listening - Giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times.
  • Excellent time management skills and ability to multitask.
  • Service Orientation - Actively looking for ways to help people.
  • Basic Computer Skills and Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • Knowledge of operation of standard office equipment.
Scope of Position:

Greeting and providing information to callers and visitors regarding the services and ministry of The Salvation Army.

Perform routine clerical and administrative functions such as drafting correspondence, scheduling appointments, organizing projects, maintaining paper and electronic files, faxing, and mailings.

Provides administrative and specific project support to the office of the Divisional Secretary.

Provides support for projects assigned by various DHQ departments, coordinated and approved by the office of the DS to prioritize daily tasks.

Duties of Position:
  • Operate office equipment, such as fax machines, copiers, or phone systems and arrange for repairs when equipment malfunctions.
  • Use computers for various applications, such as database management or word processing.
  • Make copies of correspondence or other printed material.
  • Learn to operate new office technologies as they are developed and implemented.
  • Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals or
  • Complete forms and documents process in accordance with organization\'s procedures.
  • Maintains calendar of all divisional events and general information to effectively assist the team and the public\'s awareness of said events.
  • The ability to implement arrangements and take actions in a certain order or pattern according to a specific rule or set of rules (ex: steps in a process, organizing mail for division)
Language Skills: Must be able to understand, follow and give both written and oral instructions. The employee must be able to use speech and hearing for ordinary and telephone conversation.

Physical Requirements: Ability to sit, walk, stand, bend, squat, climb, kneel, and twist on an intermittent basis. Ability to grasp, push and pull objects, and reach overhead. Ability to operate telephones, computers, and other office equipment. Ability to lift up to 25 lbs. Vision and hearing within or corrected to normal ranges.
