Job Description


Title: Real Estate Services Administrator
Location: 777 East Wisconsin Avenue Milwaukee WI 53202 United States (Hybrid)
Duration: 6+months contract

We are looking for a \xe2\x80\x9cReal Estate Services Administrator\xe2\x80\x9d to join one of our Fortune 500 Healthcare clients.

Required skills:

  • Ability to comprehend and interpret instructions, short correspondence, and memos.

  • Ability to ask clarifying questions to ensure understanding.
  • Proficiency in writing routine reports and correspondence.
  • Ability to respond to inquiries or complaints from clients, co-workers, and supervisors.
  • Effective presentation skills to internal departments and large groups of employees
  • Basic knowledge of financial terms and principles
  • Ability to calculate simple figures such as percentages.
  • Ability to understand and carry out general instructions in standard situations.
  • Problem-solving skills in standard situations
Responsible:
  • Provide general administrative support for the Real Estate Management Team
  • Assist with tenant and vendor customer service.
  • Perform various administrative tasks, including phone support, drafting, and distributing correspondence, expense reporting, calendar management, scheduling, filing, and copying.
  • Maintain tenant, vendor, and property files in accordance with prescribed standards, including insurance certificates and lease abstracts.
  • Work with Building Technician staff and vendors to compile a maintenance item list.
  • Open work orders and coordinate and monitor the status of assigned work with vendors.
  • Coordinate tenant events and appreciation activities.
  • Assist with the publication and distribution of tenant newsletters.
  • May initiate rent collections correspondence and phone contact with tenants (where permitted by state regulations)
  • Assist with budget preparation by researching costs, obtaining bids, and complying with bid process guidelines.
  • Assist with the preparation of monthly and quarterly management reports.
  • Assist with the preparation of Common Area Maintenance (CAM) dues, invoices, and related correspondence.
  • Administer accounts payable and accounts receivable processes, including coding invoices, inputting into the accounting system, and forwarding original invoices for payment.
  • Perform other assigned duties as required.
Must Haves:
  • High school diploma or general education degree (GED) and a minimum of three years of related experience and/or training.
  • Good computer skills & quick learner, high attention to detail and accuracy
Interview process:

2nd Round: If needed
