JOB DESCRIPTION OVERVIEW As the Operations Support Administrator, you will report to the Operations Manager \xe2\x80\x93 Ballast Services. In this position you will be a key member of the operations support team and will be required to liaise with colleagues daily. In supporting the Operations Manager, you will be responsible for a variety of tasks which primarily include

  • Materials and inventory ordering, planning, audit, and management.
  • Equipment logistics support and management.
  • Safety training and incident support and reporting.
  • Vendor set up and support.
  • General field support to field employees.
Support to the accounting department pertaining to the above. A background in railroad maintenance and Maintenance of Way (MOW) rail bound equipment is a distinct advantage along with previous experience in inventory and materials management and control. Training in the role and duties to be performed will be provided as part of a handover process. This role involves a combination of home remote, office, and travel and with overnight stays in the confines of North America during both the working and overhaul season. Travel includes machine locations and workshop locations to undertake audits of parts and materials. Excellent organizational and communications skills are required as you will be required to liaise with customers, contractors, and suppliers on a regular basis. IT skills including the ability to use a computer including Microsoft products is required. EXPERIENCE & QUALIFICATIONS
  • A minimum of 12 months experience in an administrative capacity.
  • Ability or communicate with clients, suppliers, and co-workers through verbal and written formats.
  • Ability to work independently and work unsupervised.
  • Excellent organizational skills.
  • Computer literate and experience in using MS Office software products.
  • A background and experience in working within the railroad industry would be a distinct advantage.
DUTIES The assigned duties include,
  • Follow instruction and complete tasks as directed by line manager.
  • Support field crews and support the business with the identification and ordering of required materials and supplies for MOW equipment fleet and work vehicles.
  • Organize the movement of equipment and materials / spares to and from work site locations engaging with railroads.
  • Management of MOW equipment fleet registration records within Rail Inc. UMLER system.
  • Lead the auditing of inventory spares held on machines and store\xe2\x80\x99s locations.
  • Maintain material and inventory spares system and records and inputting of information into the (QuickBooks) financial system.
  • Assist in the co-ordination of winter overhaul and the recording of materials usage and costs.
  • Provide administrative assistance in the running and repair of the workshop facility.
  • Provide clerical support to operations employees regarding safety investigations and reporting.
SAFETY
  • Retain the required Industry safety certification.
  • Awareness of Rhomberg Sersa\xe2\x80\x99s safety policies and activity take part in the daily safety briefings.
OTHER
  • Current driver\xe2\x80\x99s license and clean driving record
  • Travel across the US and Canada as required.
  • Ability to successfully pass pre-employment background checks.
  • Undertake other tasks or duties assigned by management on an as-needed basis.

COMPENSATION
  • Position: Field Support Administrator
  • Reporting: Operations Manager \xe2\x80\x93 Ballast Services
  • Status: Craft
  • Pay: Hourly / Salary paid min 40hrs. per week / Overtime paid 1\xc2\xbd base hourly rate.
  • Rate: > 18.00 / hr. (Dependent on experience)
