Description of Work

This position serves as an administrative assistant for the Sandhills CDSA located in our Business office. This position will perform such duties as creating purchase orders, researching purchase options under state contract, managing motor fleet cars, providing customer service support, answering the phone, and working in collaboration with multiple individuals in a variety of positions within the Sandhills CDSA. This position will interact with parents, other professional and business personal, as well as medical and specialized therapists both in person and by phone. In addition, this position involves a variety of administrative functions such as maintaining motor fleet vehicles and day to day operations within the office through inventory and maintenance requests.

About the Division of Child and Family Well-Being (DCFW) and the Early Intervention Branch:
This division works to ensure that North Carolina\'s children grow up safe, healthy and thriving in nurturing and resilient families and communities. It brings together complementary programs from the Divisions of Public Health, Mental Health, and Social Services to maximize services and outcomes for children and their families, including nutrition programs (SNAP, WIC and Child and Adult Care Food Program), health and prevention services for children and youth, children\'s behavioral health services, and early intervention programs.

The North Carolina Early Intervention Branch (NCEI) is a part of the N.C. Division of Public Health. It is the lead agency for the N.C. Infant-Toddler Program (ITP). The Infant-Toddler Program provides supports and services for families and their children, birth to three who have special needs. Research shows that this time period is critical. It offers a window of opportunity to make a positive difference in how a child develops and learns. Children\'s Developmental Services Agencies (CDSAs) across North Carolina work with local service providers to help families help their children succeed.

Knowledge, Skills and Abilities / Competencies

Qualified candidates must document on the application that they possess all of the following:

  • Working knowledge of Windows and Microsoft office software to include an extensive working knowledge of Microsoft Word and Excel.
  • Must be able to multi-task in a busy office environment and work effectively with a diverse population.
  • Must have superior customer service skills, be able to interact and communicate with the public, providers, and professionals, have the ability to work with people with courtesy and tact in performing public contact duties that may be sensitive in nature, and have good telephone etiquette.
  • Attention to detail, ability to prioritize and organizational skills are essential to this position.
  • Significant experience with office or work unit procedures, methods and practices; skill in organizing work flow and coordinating activities needed.
  • Must have experience with record keeping.
  • Must have ability to resolve problems independently and request appropriate supervisory guidance when appropriate.
  • Must have demonstrated knowledge of HIPAA and confidentiality regulations.
  • Excellent data entry skills and accuracy and attention to detail required.
Management Preferences:
  • Experience with NC Infant-Toddler program.
  • Experience with purchase orders.
  • Bilingual in Spanish.
Minimum Education and Experience Requirements

High school or General Educational Development (GED) diploma and one year of administrative experience; or an equivalent combination of education and experience.
