Job Duties for Property Manager/Office Manager



Property and Leasing Management Duties



Provide excellent tenant service by responding to tenant requests/problems promptly and courteously, generating work orders for vendors or maintenance staff, and following up to ensure resolution. Conduct periodic inspections of property and tenant spaces to ensure compliance with leases and proper upkeep, maintaining accurate tenant lease files, records, correspondence, and file notes. Assist with administering tenant occupancy, providing new tenants with an introduction letter covering emergency contacts, insurance requirements, rent collection, and maintenance request procedures. Sort, code, and verify accuracy and compliance of property-related invoices with approved Service Orders or Contracts, ensuring proper property coding and investigating cost reduction opportunities. Collect and organize property information for quick reference, assisting with monthly and annual reports, transaction-related documents, contact information, and departmental reports (e.g., business plans, financial statements). Manage apartment operations, including leasing, maintenance, and resident relations, overseeing repairs, apartment make-readies, and regular inspections to meet quality standards. Maintain accurate records of resident files, leases, and financial transactions, implementing marketing strategies to promote available units. Show and promote residential and commercial properties to prospective tenants, responding to inquiries via phone, email, and walk-ins professionally. Guide applicants through the leasing process (application, approval, lease signing) and handle lease renewals, preparing and reviewing accurate lease agreements and tenant records while ensuring compliance with leasing regulations and fair housing laws. Promote listings, events, and brand presence, developing and executing marketing strategies to attract tenants. Maintain up-to-date knowledge of property features, pricing, availability, and local market trends. Leverage experience in accounting, tax preparation, QuickBooks, bookkeeping, and sales skills to prepare and maintain financial records and support financial statement within the Property management software Knowledge of AppFolio is preferred - On the job training with this system will also be provided.

Administrative and Office Management Duties



Provide high-level administrative support by conducting research, preparing reports, handling information requests, and performing clerical functions. Serve as the primary point of contact for the office, handling phone calls, emails, general inquiries and field them accordingly. Assist with addressing customer questions and requests, retrieving files, filing documents, and uploading documents into the data management system. Collaborate with senior management to develop, document, and implement internal systems, processes, procedures, and workflows to streamline operations, extract and compile data for reports, and enhance efficiency. Independently compose routine and advanced correspondence, including letters, memoranda, and reports. Complete varied tasks expeditiously, handle confidential and time-sensitive material with discretion, and rely on experience and judgment to plan and accomplish goals. Demonstrate strong written and oral communication, interpersonal, and organizational skills, with the ability to prioritize multiple tasks and work independently under general instructions. Utilize strong working knowledge of Microsoft Office suite and learn additional internal applications.

Qualifications:



High school diploma or equivalent; some college or a degree in business, marketing, or real estate. Prior experience in property leasing, property management and/or real estate. Strong communication, sales, and negotiation skills. Excellent time management, organization, and oral/written communication skills. Ability to multi-task and interact with clients, employees, and management in a professional manner A good positive attitude with a willingness to learn and grow with the company is a must Experience with social media management and basic marketing principles. Organized, detail-oriented, and able to manage multiple priorities. Proficient in leasing software (AppFolio) and Microsoft Office Suite. On the job training will also be provided for Property Management software

Pay: $50,000.00 - $60,000.00 per year
