This is a full-time hybrid position based in the Kansas City metro area. The weekly schedule is 2 days in the office (Mondays and Tuesdays at our Leawood, KS office) and 3 days remote (Wednesday through Friday).

General Responsibilities:
The Project Coordinator will provide vital administrative and project support across strategic initiatives within the Society of Teachers of Family Medicine (STFM). This role will assist with planning, coordinating, and executing programs and projects, while also supporting STFM administrative tasks. The Coordinator will ensure smooth operations and contribute to the success of programs, committees, and organizational activities.
Primary Duties and Responsibilities:
Program Management and Administration
Oversee application processes, including verifying membership and preparing applicant materials for review.
Track applications, registrations, invoicing, and payments across programs.
Monitor timelines, milestones, and deliverables to ensure goals are met.
Prepare and distribute reports, templates, minutes, and project documentation.
Provide general office and administrative support as needed.
Meetings & Events
Plan and coordinate recurring program meetings, committee calls, and special projects.
Manage logistics for in-person events (in collaboration with STFM's Conferences team), including venue selection, catering, travel, and on-site support.
Execute webinars and virtual learning sessions, ensuring smooth technology and participant engagement.
Support the Conferences team with registration and attendee services at in-person events.
Process reimbursements and manage event-related expenses.
Educational Programs & Special Projects
Manage CME applications and ensure compliance with accrediting standards.
Lead the Faculty for Tomorrow Workshop in collaboration with the Graduate Medical Education Committee.
Coordinate special projects and cross-departmental initiatives as assigned.
Communications & Marketing
Draft and distribute program communications, announcements, and reminders.
Collaborate with Marketing to promote webinars, workshops, and special events.
Contribute to website content, newsletters, and other outreach materials.
Member & Stakeholder Engagement
Serve as a primary contact for program participants, faculty, and volunteers.
Provide excellent customer service to members and ensure a positive participant experience.
Build relationships with stakeholders and support collaboration across committees, task forces, and teams.
Job Skills and Requirements:
Bachelor's degree or equivalent experience in project coordination, communications, or administrative operations
2-3 years of experience in project support or other relevant experience
Strong organizational and time-management skills with the ability to manage multiple tasks
Excellent written and verbal communication skills with a collaborative mindset and attention to detail
Proficiency with Microsoft Office Suite, Zoom, and cloud file storage
Ability to adapt to changing priorities and take initiative in a dynamic environment
Some travel and occasional evening or weekend work may be required
Travel Expectation:
Ability to travel up to 2-3 times a year to designated conferences and events.
Job Type: Full-time
Pay: $50,000.00 - $57,500.00 per year
