The Project Coordinator plays a key role in ensuring construction projects are executed smoothly from proposal through completion. This position supports estimators, project managers, and field teams by managing documentation, coordinating schedules, and ensuring all materials and systems are accurately organized.
Key Responsibilities
Proposal Completion:
Prepare and finalize detailed project proposals based on estimator inputs, client specifications, and scope of work.
Project Initiation:
Assist in defining and documenting project scope, deliverables, timelines, and resource needs.
Scheduling Estimates & Customer Support:
Coordinate and schedule site estimates with clients, ensuring alignment with company availability and geographic efficiency.
Material Procurement:
Order materials and coordinate delivery timelines to ensure project readiness and avoid delays.
System Organization:
Maintain and update CRM systems, client records, and project documentation for seamless workflow and transparency.
Communication & Coordination:
Liaise between clients, vendors, and internal teams to ensure clear communication and issue resolution.
Quality & Efficiency Tracking:
Monitor project milestones, update tracking sheets, and assist with post-project documentation and closeout.
Qualifications
Proven experience in construction coordination, project management, or a similar role (preferred: residential or hardscaping).
Strong organizational and time management skills with attention to detail.
Excellent written and verbal communication skills.
Proficiency in Google Suite, HubSpot (or CRM platforms), and project scheduling tools.
Ability to manage multiple priorities in a fast-paced environment.
Problem-solving mindset and team-oriented attitude.
Preferred Skills
Familiarity with construction materials and installation processes.
Experience working with AI tools, automation platforms, or proposal software like PandaDoc.
Understanding of logistics coordination and vendor management.
