Project Administrator/Document Control





Position Summary





This individual oversees all project specific documentation to ensure accuracy, compliance, and timely distribution. This role manages document control systems, provides regular status updates, and supports project teams throughout the lifecycle. They drive seamless document control and deliver dynamic status updates that empower project teams to stay ahead and succeed.




Job Functions




Ensure the accuracy and timeliness of processes and tasks while clearly communicating expectations to others.

Recognize future problems, perform research, and propose preventative action.

Ensure all project documentation complies with both project-specific and internal requirements.

Respond to project team needs and complete work in a timely

Ensure that all documents are secure and confidential.

Regularly check documents for accuracy and completeness. Assist site leadership team with administrative duties and file management. Oversee how documents are released, shared, and stored. Attend and take notes at meetings as deemed necessary

.

Manage access to controlled documents and maintain distribution lists. Review documents for accuracy, completeness and compliance. Submit documents for internal review/approval. Maintain logs of document issuance and retrieval. Train project team members on document control procedures and how to use the document control management system. Implement corrective actions for document-related issues. Provide data entry and generate reports using document management software. Follow all company guidelines and best practices. Ability to receive methods for improvement or constructive criticism. Maintains and displays company values and culture.

Qualifications








Previous administrative experience preferred. Strong organizational skills and ability to multi-task. Excellent communication skills, both verbal and written. Ability to work under deadlines and manage multiple document workflows Proactive and independent with the ability to take initiative.
