Duties and Responsibilities:
In collaboration with the Department of Nursing Chair (DC), coordinates the master schedule of classes (SOC) foreach semester based on the academic program offerings, projected student enrollment, credit and hour requirements, faculty assignments, student/faculty ratios, academic calendar, and available clinical sites.
Creates, revises and distributes the SOC to appropriate administrators, faculty and staff; update to include class cancellations, rescheduling, additions, room changes, and actual class enrollment.Ensures accurate input, monitoring and troubleshooting of course details including times, dates, locations, faculty assignments, student numbers, and other relevant information into the university's scheduling systems and student information systems, and the nursing centralized clinical placement system.
Works with the DC, course coordinators, simulation center (THSSC), and student services to develop schedules that optimize course offerings and resolve scheduling conflicts and registration issues.
Serves as the Department of Nursing (DON) Liaison to the University Scheduler, Outreach College Extension Program Administrator & Facilities Scheduler on a range of complex scheduling, operational and administrative issues related to academic course offerings.
Serves as DON liaison to course coordinators and program directors in determining upcoming session needs and implementing program changes; and as liaison to OSS on student projections & enrollments.
Schedules rooms for classes and study sessions as may be required to accommodate course offerings.
Maintains current knowledge regarding the class schedule and serve as the primary department contact for faculty and staff questions.
Maintains confidentiality and security of course schedules and related records in compliance with FERPA and HIPAA regulations.
Plans, develops, analyzes, and monitors faculty assignments, including workload calculations, faculty notice preparation, database development and maintenance, summary report generation, discrepancy identification, and timeline adherence as directed by the DC.
Works with DC, Human Resources Specialist and Administrative Operations Coordinator to prepare and monitor faculty hires, overload requests, and other personnel action documents for DON.
Collaborates with the Clinical Placement Director, supporting staff across school units, clinical agencies, students and faculty to ensure timely onboarding of students, student orientation and facility clearances for clinical site placement.
Maintains ongoing contact with clinical sites to provide information on courses and curriculum.
Requests clinical placements in the Centralized Clinical Placement System (CCPS) based on the class schedule for the various nursing programs.
In coordination with the nursing class scheduler, receives and coordinates CCPS placement.
In coordination with the DC, plans and coordinates clinical faculty recruitment related to clinical faculty appointments.
In coordination with the Clinical Placement Director, monitors CCPS process and procedure and proposed changes for efficiency, as needed.
Liaises between SONDH and clinical facilities, confirming the use of the facility with DON faculty and visiting/contacting sites.
Independently creates and drafts substantive letters, reports, and documents for the DON to health care agencies, students, faculty, and administration.
Compiles data, conducts analysis, and prepares summary reports such as course offerings, class enrollments, scheduling conflicts, small class reports, and reports for accreditation and the Board of Nursing.
Monitors academic affairs operational activities and timeline; anticipates and identifies issues and problems to report to and resolve with the DC.
Applies or modifies new/improved techniques for improving work product and analyzes outcomes in the utilization of clinical sites, and other areas.
Collaborates with the Associate Dean for Academic Affairs, Project Coordinator, DC, and faculty to stay current with curriculum changes.
Serves as back-up for other administrative or academic support personnel, i.e., in the Office of the Dean, as needed.
Attends department, course coordinator, CCPS meetings and other assignations, as required.

Minimum Qualifications:
Possession of a baccalaureate degree in business administration, human resources, social sciences, nursing, or related field and three (3) year(s) of progressively responsible professional experience with responsibilities for project management, academic class scheduling, student placements, clinical placement, and/or staffing requirements; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.
Considerable working knowledge of principles, practices and techniques in the area of project management, academic class scheduling, student placements, clinical placement, and/or staffing requirements, as demonstrated by the broad knowledge of the full range of pertinent standard and evolving concepts, principles and methodologies.
Considerable working knowledge and understanding of applicable federal and state laws, rules, regulations and theories and systems associated with project management, academic class scheduling, student placements, clinical placement, and/or staffing management.
Demonstrated ability to resolve wide ranging complex problems through the use of creative reasoning and logic to accurately determine the cause of the problems and the resolution of the problems in an effective, innovative and timely manner.
Demonstrated ability to interpret and present information and ideas clearly and accurately in writing, verbally and by preparation of reports and other materials.
Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team leaders and members, and individuals.
Demonstrated ability to operate a personal computer and apply word processing software.
If applicable, for supervisory work, demonstrated ability to lead subordinates, manage work priorities and projects, and manage employee relations.
Self-starter with demonstrated ability to learn new operating systems quickly.
Demonstrated ability to be well-organized, multi-task, pay attention to detail, and effectively manage projects.

Demonstrated proficiency in the use of Microsoft Office applications like Excel, Word, and Outlook, including the capability to efficiently input and manage data within a professional database system or related programs.
Excellent interpersonal skills including the ability to work with administration, faculty, staff, students, clinical agency personnel, and other individuals/external groups.
Demonstrated knowledge and understanding of FERPA and HIPAA regulations and willingness to obtain university certification in relevant regulations.
Able to work outside of normal business hours including evenings, weekends and/or holidays.
Desirable Qualifications:
Experience in support services in an academic environment.
Experience in a health professions school in higher education.
Experience or familiarity with human resources management and associated processes.
Experience in working with Adobe Pro, Google Workspace (Drive, Sheets) and Dropbox.
Experience in working with Banner (student information system), Coursedog (academic scheduling platform), andCCPS (centralized clinical placement system).
Experience with or knowledge of nursing education programs and field placement activities.
Licensed or eligible to be licensed to practice as an RN in Hawaii
