The Production Administrative Coordinator is responsible for completing the administrative tasks associated with aircraft paint production in the direction of and in cooperation with the Head of Production and staff.

Essential Job Duties and Responsibilities (Production 80%):
Creating, distributing, and adjusting the production staff work schedule with guidance and direction from the production manager(s)
Monitoring and entering all nonworking hours (paidtimeoff, sick leave, bereavement, etc.) in the Time and Attendance system
Creating and updating job costing codes in the Time and Attendance system and assigning codes to staff in the system
Validating clockin/ clockout daily and rectifying any discrepancies in the Time and Attendance system to ensure accurate timekeeping by production staff
Manual adjustments to clocked hours by job costing codes at the direction of the production manager
Preparation and distribution of routine reports (daily, weekly, monthly, and quarterly) and checklists
Assist in the recruitment of new production staff by participating in recruitment events and engaging with community partners
Coordinate the scheduling of interviews with the production manager and human resources department
Engage in new hire orientation and onboarding in cooperation with the human resources department and training department
Conduct and assist in training current and new employees.
Monitor and assist in the coordination and execution of the production department's evaluation and skill assessment program.
Ensure all equipment and uniforms are issued during new hire orientation and all proper documentation is collected in cooperation with the procurement department.
Tracking and monitoring the inventory of equipment and uniforms in cooperation with the procurement department to ensure the minimum levels of needed inventory are available.
Scheduling all productionrelated meetings within the company's defined parameters as well as on an adhoc basis as may be required.
Recording meeting minutes and actions relevant to the production manager and followup on specific actions at their direction.
Maintaining an awareness of the completed, inwork, and upcoming aircraft schedules and communicating project updates and issues to other departments at the direction of the production manager.
Responsible for requesting all office supplies needed for production group.
Assist with recruiting and hiring personnel, including temporary (contract) employees, to staff the business unit's existing and planned operations.
Conducting Induction Training and assigning new hires to their specific program.
Available to participate in recruitment activities engaging with the local (Mobile, AL.) community.
Monitoring paint equipment assigned to painters

Secondary Job Duties and Responsibilities (Operations 20%):
Issuing and managing POs for all material and facilities costs on the company's ERP software.
Allocating project spends using the company's ERP software system.
Performing cost analysis on each aircraft and placing replenishment orders to maintain stock levels.
Tracking and reporting on relevant KPI's.
Keeping all maintenance records for building systems and vehicles.
Maintaining records of building system inspections.
Recordkeeping of all environmental submissions made on behalf of MAAS Aviation.
Managing the allocation of correct maintenance costs against tooling and equipment send offsite.
Monitoring and tracking training attendance list.
Other duties may be assigned.

Required Experience / Education / Skills:
High school diploma or GED required, associate degree or higher in Business Administration or related field preferred.
Minimum of 3 years' experience working in an administrative role, preferably within an Aviation and/or industrial environment.
Must be bilingual, proficient in both verbal and written English and Spanish languages.
General understanding of production management tools and software, including the use of project flow plans to organize, monitor, and record project status.
Proficient use of Microsoft Office Suite, Including Word, Excel, PowerPoint, and Outlook.
Proficient understanding of webbased file and information sharing systems with the ability to upload, download, and edit records stored in various digital formats.
Proficient use of the company's clocking system and time management software.

Must be able to move around the office and plant throughout the day and reach with hands and arms and stoop, kneel or crouch occasionally.

Must occasionally lift and/or move up to 20 pounds.
