Position descriptions are reviewed and revised to meet the changing needs of the organization. TITLE: Procedure Coordinator JOB OVERVIEW: Coordinate all assigned clinic procedure scheduling. Act as liaison for patients, visitors and staff. Maintain all provider schedules. Responsible for procedure prep coordination, including chart prep, pre-op instructions, and prep care coordination. Obtaining authorization for incoming and outgoing referrals and facilitate access and care for patients in clinic. AREA OF ASSIGNMENT: Clinic Network HOURS OF WORK: Typically Monday - Friday; Hours may vary to cover service needs. RESPONSIBLE TO: Clinic Manager PREREQUISITES:
  • High school diploma or equivalent. College degree preferred.
  • Strong working knowledge of medical terminology, medical procedures, insurance authorization process and scheduling requirements for procedures.
  • Proficient with Electronic Medical Record and Microsoft tools.
  • Evidence of excellent communication skills.
  • Able to communicate effectively in oral and written form in the English language.
QUALIFICATIONS:
  • Two to four years\' experience working in a surgical or clinical setting.
  • Ability to provide high quality service which meets and exceeds the needs of the internal and external customers.
  • Must be able to read and understand complex medical information and have the ability to communicate the requests in a clear, complete, and concise fashion.
  • Demonstrated ability to utilize third party payer/insurance portals; detailed knowledge of insurance providers, their portals and their expectations for authorization approval for procedures/referrals/appointments.
  • Must be able to comply with HIPPA standards when accessing or communicating patient information.
  • Organizational skills with a focus on tracking patient work queues and improving access to care.
  • Ability to handle multiple demands and competing priorities.
  • Ability to collaborate and work in a multidisciplinary team environment.
  • Ability to stay abreast of changes related to procedures, authorizations and coordination related to scheduling patients.
  • Professional demeanor and experience while working with providers, patients and families.

  • Essential Responsibilities and Competencies:
Management of Procedure, Medication Testing or Appointment Requests Requiring Authorizations:


  • Ability to manage an Epic work queue according to protocol.
  • Ability to review requests/referrals for clinical appropriateness utilizing guidelines, communication with providers or manager.
  • Ability to clearly articulate requests and required information to insurance companies.
  • Ability to complete timely documentation in Epic or by other means as needed, e.g. telephone encounters, staff messages.
  • Maintain positive relationships and effective communication with local referring offices, provider offices and staff of the various insurance companies.
  • Practice in a manner that is sensitive to cultural diversity.
Work Queue Management:
  • Checks work queues daily for urgent requests and handles them according to protocol
  • Maintains clear and concise documentation regarding the status of the request or referral.
  • Conduct follow-up accurately and timely. Communicate to leadership or providers as needed to ensure there is clear communication regarding care coordination and transition management needs.
Procedure Coordination:
  • Have a strong working knowledge when appointment requests, procedures or referrals require coordination of services, clinical space, instruments or equipment.
  • Conduct quality management reviews to ensure completeness of documentation and timeliness of managing requests.
  • Comply with organizational standards, procedures and policies related to management of requests, appointments or referrals.
Integration into the Multidisciplinary Team:
  • Serves as a team member and communicates professionally with the multiple roles found within a specialty clinic.
  • Offers insight and suggestions to improve efficiencies and communication within the team.
  • Offer input into training needs for other members of the team.
Other Duties as Assigned:
  • Able to assume other duties as assigned.
  • Will seek clarification as needed for other duties as assigned.
