Position Summary:

With offices and employees in 7 countries and growing, Wildlife Works Carbon (WWC) is looking to fill this newly created role that will report to the Head of Global Accounting. This position will also work closely with the Chief Financial Officer and HR Director. The Payroll Specialist will be responsible for US payroll for a workforce of less than 50 US employees. This role will be based in the US in North Carolina or Vermont and is estimated to be 1 - 2 days per week.

Experience in multi-state payroll and a strong understanding of US state and local payroll regulations and best practices will make a candidate successful in this role. Experience in international payroll is a plus. This candidate must demonstrate high attention to detail.

Responsibilities include:

  • Prepare and process semi-monthly US multi-state payroll in ADP Workforce Now\xc2\xae
  • Record journal entries in the accounting system for each semi-monthly payroll cycle
  • Maintain payroll related tax account registrations with state and local tax jurisdictions
  • In conjunction with ADP, prepare and file accurate and timely payroll tax reporting to federal, state and local agencies
  • In conjunction with ADP, research and resolve all tax notices from federal, state and local agencies
  • Prepare annual forms W-2s and 1099s for US employees and contractors
  • Prepare and process annual employee bonus and profit sharing off-cycle payroll runs
  • Process semi-monthly employee 401K payroll contributions
  • Mantain and ensure accurate reporting of paid-time-off balances on pay stubs as well as fringe benefits
  • Work with HR to onboard new employees for payroll
  • Work with HR to ensure personnel updates (terminations, leaves of absence, etc.) are updated timely and accurately in all systems
  • Coordinate with and assist department managers with timesheets for hourly interns and contractors where needed
  • Assist where needed with the annual budget process by preparing estimates for all payroll related expenses, including cost of living adjustments by region and position
  • Research payroll regulations and best practices, taxes, and reporting requirements in new international jurisdictions where needed
  • Perform and assist with other tasks and duties as assigned
Requirements

Minimum Qualifications (Education, Knowledge, Skills, and Abilities):
  • Associates or bachelor\xe2\x80\x99s degree in accounting, finance, or business and/or related payroll or tax certification preferred
  • 5+ years of payroll experience in a multi-state environment
  • 5+ years of payroll tax and fringe benefits experience required
  • High attention to detail and accuracy
  • Sound knowledge of payroll regulations and best practices, taxes, and reporting requirements
  • Experience in ADP Workforce Now\xc2\xae and Sage 300 is a plus
  • Preference will be given to candidates located in North Carolina
  • International payroll experience is a plus
  • Fluency in either French, Portuguese, or Spanish (in addition to English speaking) is a plus
  • Proficient knowledge of Microsoft Word, Excel, and Outlook is required
  • Strong verbal, written and interpersonal skills with the ability to communicate effectively to all levels of the organization
  • Demonstrated ability to take initiative and be self-motivated, be flexible and adaptable, and work in a fast-paced, deadline-driven environment
  • Must have the ability to handle and prioritize many projects simultaneously and successfully meet goals and deadlines
  • Must be able to comply with regulatory requirements, policies, and procedures
  • Demonstrated analytical skills and ability to perform detail-oriented work with a high degree of accuracy
  • Ability to recognize and define problems, recommend, and implement solutions
  • Demonstrated experience handling confidential information and a high degree of professionalism
  • Must be effective at working in a highly collaborative environment, act with integrity, and have demonstrated ability to gain the trust and confidence of internal clients.
