Description

Performs responsible administrative work and coordination of responsibilities involving a variety of office assistance and program support tasks for the Clerk to the Board; serves as the Community Relations Liaison for the County. Work may include serving as contact for citizens and staff on program area assigned; preparing specialized reports; establishing and maintaining a variety of records, files and data, including financial records; completing required budget forms and travel reimbursements; maintaining and tracking financial data; and providing other administrative support to the Clerk and/or Board of Commissioners. Assist Clerk to the Board in creating and maintaining a permanent record of Board actions and maintaining historical and current official records. Work also involves serving as Community representative. Nurtures relationships between the County and external organizations, the media and the community.

Examples of Duties

Essential

  • Acts in the absence of the Clerk to the Board of County Commissioners assuming responsibilities required to continue the operation of the office including preparing agendas for Board meetings, gathering information for meeting agenda packets, and notifying Commissioners, appropriate County staff, news media, and other interested parties of dates and times of Board meetings; attends Board meetings, hearings, workshops, etc., as directed by the Clerk.
  • Keeps up-to-date information on all County Board and Commission appointments and advertisements as well as the preparation of letters of appointment, reappointment and appreciation.
  • Utilizes social media to communicate, plan content, and host virtual groups to enhance the County\'s online profile and community relations
  • Processes department accounts payable; requests purchase requisitions; maintains and tracks financial data for department budget.
  • Serves under the Public Information Officer for the County and develops Community relations projects; maintains webpage and social media accounts; posts information to inform the public on relevant information; assists in developing press releases and keeps media informed about County events and activities; provides assistance with departments in advertising and promoting events and activities; participates in EOC activities and coordinates emergency communications, as needed.
  • May participate with community members and department heads in the development of programs and activities that have a positive impact on the community; may plan, implement and organize special events.
  • Collects, copies and assimilates data to be used for programs.
  • Orders and maintains department materials and supplies inventory.
  • Responds to public records inquiries and requests.
  • Performs administrative support duties for the Clerk to the Board/PIO.

  • Serves as point of contact for businesses, institutions and communities
  • Attends relevant events and activities to represent the County
  • Performs related duties as required.
Typical Qualifications

Graduation from a community college or university with at least a two (2) year associate degree in public relations, marketing or related field; and at least three (3) years of experience in administrative work; or an equivalent combination of education and experience. Must have a valid driver\'s license.

May be required to complete the following:
  • Clerk to the Board and to become certified by UNC School of Government.
  • Notary Public certification.
  • Public Information Officer Certification.
Supplemental Information

Must be able to physically perform the basic life operational functions of reaching, fingering, talking, hearing, and repetitive motions.

Must be able to perform light work exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects.

Must possess the visual acuity to prepare data and statistics, to work with accounting processes, to operate a computer terminal, and to perform extensive research and reading.
