Reporting to the OST Program Director, the OST Program Manager provides hands-on, on-site oversight and coordination of the Parks and Recreation Department's after-school programs, summer camps, mini-camps, preschool programming, and related children's events. This position works daily within the Out of School Time (OST) After School and Camp programs and performs administrative, supervisory, and program coordination duties to ensure safe, effective, and high-quality service delivery.
Essential Duties and Responsibilities
Provide on-site and off-site coordination of after-school, summer camp, mini-camp, preschool, and other OST programs
Communicate daily with the OST Program Director and administrative staff regarding operational, staffing, safety, or programmatic issues
Immediately report significant injuries, safety incidents, or behavioral concerns
Coordinate and oversee daily work of on-site OST employees in consultation with the OST Program Director
Notify the OST Program Director of staff performance, conduct concerns, or unusual staffing needs
Coordinate and lead field trips and special events as needed
Coordinate program schedules and maintain participant files and parent/child contact information
Serve as on-site point of contact for parents in the absence of the OST Program Director
Assist with administrative materials including daily logs, attendance sheets, staff schedules, and leadership duty sheets
Assist with monthly billing processes and transaction reconciliation
May coordinate and process payroll for seasonal staff
Coordinate planning and implementation of projects and activities throughout the year
Assist with staff assignments, scheduling, and training
Coordinate routine meetings with program coordinators and specialists to develop work assignments and responsibilities
Participate in the selection, interview, and onboarding of seasonal OST staff
Complete new seasonal staff paperwork for Human Resources in coordination with the OST Program Director
Establish and maintain effective working relationships with coworkers, participants, parents, and the public
Perform related duties as required
Knowledge, Skills, and Abilities
Knowledge of after-school, summer camp, preschool, and children's recreational programming principles and practices
Knowledge of relevant laws and town and departmental policies and procedures
Proficiency with computers and job-related software applications
Skill in supervising staff and supporting behavior management practices
Skill in planning, organizing, and leading recreational activities
Strong administrative, organizational, oral, and written communication skills
Knowledge of basic first aid and CPR; ability to obtain certification within six (6) months
Physical Demands and Work Environment
Work performed in office, classroom, pool, and outdoor environments, including hot, cold, and inclement weather
Regular use of hands, arms, and full range of body motion including standing, walking, bending, climbing, and balancing
Frequent lifting and moving up to 60 pounds
Requires good depth perception, color vision, hearing, balance, and fine motor dexterity
Ability to work safely on wet or slippery surfaces
Minimum Qualifications
Training or coursework in behavior management or a related field, or an equivalent combination of education, training, and experience
Job knowledge and experience sufficient to understand and successfully perform all major job duties, typically associated with at least three years of relevant work experience, two of which involve supervision of subordinate roles, resolve issues, and manage child behavior effectively.
Hours of Work:
The standard workday and workweek for OST Staff varies depending on time of year.
KAST: Monday - Friday 9:15am - 5:45pm.
i. When not scheduled program responsibilities the standard workday is 8:15am - 4:45pm.
b. When Camps are running the OST schedule is
i. Monday - Friday 4 days per week: 8:00am - 5:00pm
ii. 1 day per week: 8am - 2:30pm. Short day rotates among OST Staff.
