We are seeking a dynamic, intelligent and proactive Operations Manager to oversee the efficient operation of our administrative and digital functions. Reporting to the Partners, you will interact with the entire firm. You will manage financial administration and regulatory compliance as well as our digital footprint. Key Responsibilities
1.
Financial Operations and Accounting
Financials:
Work with the firm's Financial Operations (FinOp) Executive and external accountants to maintain QuickBooks records. This includes managing payroll processing, bank deposits, bill payments, and client invoicing/collections
Facilities:
Manage all general office functions, including purchasing supplies, working with landlord and facility maintenance, and vendor management

Regulatory & Compliance Support
FINRA Compliance:
Assist with FINRA record-keeping and reporting requirements to ensure the firm remains audit-ready
Records Management:
Organize and maintain the firm's electronic and physical records with a focus on security and accessibility
Audit Coordination:
Work with the firm's FinOp and outside auditing firm to assemble the materials needed to complete the firm's annual audit

CRM & Data Management
System Administration:
Serve as the primary administrator for the firm's web-based CRM. Ensure data integrity is maintained across the team.
Enhancement:
Create new workflows to track deal pipelines and automate follow-ups.

Digital Marketing & Brand Presence
Social Media:
Curate and maintain the firm's professional presence on LinkedIn. Draft and post updates regarding deal closings, market trends, and firm news.
Content Creation:
Create and post basic online content to highlight firm activity.
Website Management:
Perform routine updates to the firm's WordPress website, ensuring team bios, news items, and security plugins are current.
Qualifications & Skills
Experience:
You have worked in a fast-based, team environment.
You have worked with QuickBooks or similar accounting platforms.
Experience with FINRA compliance, or similar, would be very useful.
You've spent time working with social media and AI chat agents.
Technical Proficiency:
Office Suite:
Excellent skills with Microsoft Office (Word, Excel, PowerPoint) and Google Workspace
Financial:
Familiarity with QuickBooks and basic bookkeeping principles
Digital:
Demonstrated ability to operate in a digital environment, e.g., using social media, AI agents, WordPress

Pay: $48,000.00 - $58,300.00 per year
