Operations Coordinator (6-Month Contract-to-Hire)



We are a rapidly growing facilities management company supporting clients with maintenance, repair, and project services across multiple regions. We are seeking a highly organized Operations Coordinator to oversee work order scheduling, quality control, and vendor coordination. This role is essential to ensuring our clients receive timely, accurate, and high-quality service.

Important Employment Details:
This position is a

6-month contract-to-hire role

Position Overview:

The Operations Coordinator will be responsible for maintaining and organizing all work orders from start to finish. This includes scheduling skilled trade vendors, tracking progress, confirming quality standards, and ensuring detailed documentation is completed for each job. The ideal candidate is detail-oriented, proactive, and committed to maintaining high operational accuracy.

This role operates in a

hybrid environment

, with a blend of office work and remote flexibility.

Occasional travel

may be required for large project sites or vendor meetings.

Key Responsibilities: Work Order Scheduling & Management (Primary Focus)

Receive, review, and process all incoming work orders accurately and promptly Schedule and dispatch skilled trade vendors for service calls, repairs, maintenance tasks, and project work Maintain a clear, organized schedule of all ongoing and upcoming work orders to ensure on-time completion Monitor job timelines, follow up on open tickets, and escalate issues when delays occur Communicate with vendors and clients to confirm appointments, access details, and service expectations
Work Order Quality Control:

Ensure all work orders include complete and accurate documentation, photos, notes, and required forms Review vendor submissions and verify that work meets client quality standards Track and address deficiencies, incomplete work, or missing information before closing out orders Maintain consistent service quality through clear communication and follow-up
Vendor Coordination & Development

Conduct cold outreach to identify and onboard new vendors to support coverage and service needs Build and maintain a vendor library, including contacts, pricing, documentation, insurance, and service regions Strengthen relationships with existing vendors to ensure reliable performance
Operational Support:

Assist with building operational tracking tools and reports (Excel, Smartsheet, or similar) Support client communication by providing updates, documentation, and status reporting Collaborate with internal teams to ensure accuracy and efficiency across all workflows Participate in occasional travel for larger jobs, site visits, or vendor meetings
Qualifications:

Experience with work order management, dispatching, scheduling, or facilities coordination Strong organizational skills and high attention to detail, especially when reviewing job documentation Excellent communication skills, with confidence coordinating between vendors and clients Comfort with cold calling and vendor outreach; experience onboarding service providers is a plus Familiarity with workflow or scheduling platforms (Excel, Smartsheet, etc.) helpful but not required Ability to work independently, multitask, and meet deadlines
