This is a new position, designed to make our operations smoother and more consistent across all locations. The right person will help define the role as they grow into it.
Position Overview
The Operations Coordinator supports our Director of Operations across all business locations. You'll manage ordering, inventory, scheduling, deposits, and administrative projects, helping create systems that keep everything running efficiently.
This role requires a friendly, outgoing personality and the ability to work with a large, diverse team. Priorities can shift quickly, so flexibility, strong organization, and critical thinking are key.
Note:
This is an entry-level position training will be provided, experience preferred, but not required.
What You'll Do
Inventory & Ordering
Place and manage orders for all locations.
Track inventory levels to prevent shortages and overstocks.
Communicate with vendors to ensure timely and accurate deliveries.
Identify and help reduce slow-moving or excess inventory.
Coordinate transfers between stores as needed.
Support margin health through accurate purchasing and tracking.
Scheduling & HR Coordination
Manage scheduling, time-off requests, and shift swaps across multiple businesses.
Maintain clear communication with store managers about coverage needs.
Serve as backup for occasional urgent shift coverage.
Financial & Operational Support
Count, verify, and record daily deposits.
Reconcile invoices and order receipts.
Maintain organized records for purchasing, payroll, and reporting.
Assist with marketing, inventory, or administrative projects as assigned.
Run occasional errands related to operations and supplies.
What You Bring
Experience in retail, cafe, or foodservice operations (multi-location preferred).
Excellent organizational and communication skills.
Ability to juggle shifting priorities and stay calm during "fire drill" moments.
Friendly, approachable, and comfortable working with many different teams.
Critical thinker who can spot opportunities and prevent missed ones.
Proficiency with spreadsheets, POS systems, and online vendor platforms.
Must be legally eligible to work in the United States.
Valid driver's license and reliable transportation.
Physical & Work Environment Requirements
Ability to sit or stand for extended periods.
Comfortable working on a computer and phone for long durations.
Regularly walk, bend, and climb stairs while visiting different locations.
Ability to lift and carry up to
40 lbs
occasionally (inventory, supplies, deposits).
Comfortable working independently with minimal supervision.
Accuracy and focus when counting cash or handling deposits.
Occasional travel between store locations required.
Schedule & Compensation
Full-time, typically
Monday-Friday
(occasionally includes some weekend days for special events/projects), with some flexibility during events or emergencies.
