We are seeking an experienced, successful, and engaged Operations Administrator to join our team. This position is expected to work out of our office at 625 Charles Street in San Jose and limited job-related travel may be required.
Position
Summary:
GreenWaste is seeking to fill the position of Operations Administrator to provide support to one or more facilities. The Operations Administrator supports the daily operations of one or more facilities by managing administrative functions ensuring smooth workflows and compliance with company policies. Based in San Jose, the position requires strong organizational skills, the ability to synthesize complex information quickly, and an initiative-taking approach to supporting operational efficiency.
Essential Functions and Responsibilities:
Support the General Manager, monitor operational workflows, and identify areas for improvement.
Prepare reports, presentations, and documentation for management.
Coordinate schedules, meetings, and communications across departments. Assist with calendars and travel as needed.
Ensure site compliance with company policies and regulatory requirements by partnering with the functional teams and the enterprise shared services.
Support site onboarding, safety training, and record keeping of new staff in operational procedures.
Liaison with vendors, clients, and internal teams to support operational needs.
Assist and maintain office and operational inventory management.
May be required to help support other administrative functions including but not limited to dispatch, or call centers as directed by the General Manager.
Performs other duties as assigned.
Knowledge, Skills, and Abilities:
Proficient with Microsoft Office Suite, including Excel and PowerPoint.
Demonstrated ability to synthesize complex information quickly and accurately to support operational decisions.
Strong analytical skills with the capacity to distill large volumes of data into clear, actionable insights.
Proven aptitude for rapidly understanding new concepts and integrating diverse information sources.
Skilled at summarizing key details from reports, meetings, and communications for cross-functional use
Effective communicator with the ability to translate technical and operational information into organized, presentable formats.
Excellent written and verbal communication skills.
Strong organizational skills and attention to detail.
Ability to work collaboratively across teams and communicate effectively with diverse stakeholders.
Proven ability to research, manage, and resolve complex assignments with sound judgment and initiative.
Comfortable handling confidential information and exercising discretion under pressure.
Track record of meeting deadlines and delivering actionable requirements in dynamic environments.
Qualifications:
Education:
Bachelor's degree in Business Administration or a related field preferred.
Travel:
Willing and able to travel regionally up to 20% of the time, including overnight travel as needed.
Location:
Based at the corporate headquarters in San Jose, California; candidates residing out of state must be willing to relocate.
Language Skills:
Proficiency in English (verbal and written) required; Spanish language skills highly favorable.
Industry Experience:
Experience in waste management, recycling, logistics, or environmental services preferred.
Technology:
Familiarity with project management tools and ERP systems is a plus.
Work Style:
Adaptable and initiative-taking in dynamic environments; customer-service oriented with a positive attitude.
Confidentiality:
Comfortable handling confidential information with discretion and professionalism.
Driver's License:
Valid Class C driver license is required.
Physical Demands
Ability to push, pull, and lift items weighing up to 25 lbs.
Occasional walking and movement throughout facility or outdoor areas.
Occasional exposure to outdoor weather conditions and environmental elements.
Prolonged periods of sitting and working at a computer or desk.
Work Environment:
Standard Monday through Friday schedule with occasional evening and weekends for company events, operational needs and emergency coverage. Will be exposed to outdoor weather conditions.
