The Onboarding Coordinator provides essential administrative support to ensure a smooth and efficient onboarding process for all new hires at Moon Valley Nurseries. This position is primarily responsible for managing logistics, scheduling, and documentation from the time of offer acceptance through the employee's first weeks. The Onboarding Coordinator plays a key role in keeping processes organized, accurate, and on time, while ensuring new team members have the tools and resources they need to get started.
Key Duties and Responsibilities

Organize and manage all aspects of the onboarding process, including preparing offer packets, collecting required documents, and scheduling orientation sessions.
Speak directly with candidates to guide them through onboarding steps, answer administrative questions, and provide clear next steps.
Set up self-onboarding tasks in the system and monitor progress to ensure timely completion.
Follow up with candidates on I-9 documentation and other required forms to confirm compliance.
Send out onboarding confirmation sheets once all tasks are complete and onboarding is finalized.
Maintain onboarding checklists, timelines, and task trackers to ensure deadlines are met.
Coordinate with payroll, IT, and operations to confirm system access, equipment, and other setup tasks are completed on schedule.
Maintain accurate and up-to-date employee files and electronic records.
Track onboarding progress, flag outstanding items, and follow up with departments or employees as needed.
Support special projects and process improvements to streamline administrative onboarding tasks.

1+ years of experience in administrative coordination, office support, or onboarding roles preferred.
Strong organizational skills with the ability to manage multiple priorities and deadlines.
Excellent written and verbal communication skills with a service-oriented approach.
High attention to detail and accuracy in managing documentation and records.
Proficiency with Microsoft Office Suite; familiarity with HRIS or database systems a plus.
Ability to work independently while maintaining strong collaboration with cross-functional teams.
Education

Bachelor's degree preferred, or equivalent administrative experience.
Physical requirements/Working Conditions

While performing the duties of this job, the employee is regularly required to talk and hear. This position is very active and requires standing, walking, bending, kneeling, stooping, crouching, crawling, and climbing all day. The employee must frequently lift and/or move items over 15 pounds. Able to work outdoors for extended periods of time in possibly extreme conditions, including rain, heat, sun, and wind.
