Job Description


Overview:

This role is responsible for supervising the Office Coordinators, Reception, and Concierge. Management and coordination of all associate and client on site events. Oversight of the Monday.com Event planning platform. Greeting all visitors, clients, and employees with a warm welcome. Provide best in class office experiences to all associates and clients. Liaison to lobby security for external visitors and contractors. Overseeing all aspects of the office, safety, cleanliness, amenities. Ordering and stocking all amenities and supplies and coordinating equipment repairs and maintenance with vendors. Submitting work orders with the building for any repairs, lights out, additional cleaning, etc. and ensuring the work orders are completed promptly. Conference room and event space reservations and assist in catering orders for teams on site. Oversight of Boston Teams Channel by posting office-wide communications. Supervising front desk and concierge duties (welcome tours, preparation of office coffee, amenity stocking etc.). Invoice processing for office maintenance services (janitorial, plant maintenance, coffee/snacks). Responsibilities:

  • Managerial Functions - Manages staff for the branch, providing coaching and support for professional development. Establishes and monitors expectations to achieve company and department goals.
  • Business Support - Assists with a variety of tasks to facilitate Workplace Services operations. Enters project, work order, and portfolio data into the department tracking system.
  • Documentation - Ensures Workplace Services monthly metrics are accurate and up-to-date.
  • Communication - Cultivates and maintains strong professional communications with executives, associates, and vendors to solve issues that arise during the course of Workplace Services activities. Resolves property issues by working directly with landlords and vendors. Creates and records written communication between parties for documentation purposes.
  • Vendor Management - Manages vendors including effective work order communications, invoice management, performance & accountability monitoring.
The base pay for this position is relative to your experience but the range is generally $36.82 to $56.46 per hour. First Citizens offers a competitive, comprehensive benefits program which you can review here: . Qualifications:

Bachelor\'s Degree and 2 years of experience in Corporate Real Estate Facilities/Property Management

High School Diploma or GED and 6 years of experience in Corporate Real Estate Facilities/Property Management
