Position Summary:


The Office Associate position requires a self-motivated, enthusiastic individual who can maintain an efficient and effective office environment, handle a fast-paced reception area, and provide administrative support to the department management team.




Essential Job Functions and Responsibilities:

  • Support daily functioning at OBT locations.
  • Assume all front desk duties including answering phones, routing calls, and taking messages.
  • Meet and greet visitors and direct them to appropriate staff or office space.
  • Maintain lobby, front desk area, and kitchen, keeping them clean and free of clutter.
  • Coordinate use of space by visitors including use of desks, classrooms, and conference rooms.
  • Ensure coverage of administrative needs including but not limited to tracking and reporting dailyattendance and assignment completion.
  • Assist staff with administrative duties as requested, including scheduling, and setting up meetings,and maintaining shared calendars.
  • Prepare and distribute incoming and outgoing mail including FedEx or UPS packages.
  • Create letters, labels, and reports as requested.
  • Copy, assemble and mail program materials.
  • Monitor postage and Xerox machines to assure adequate supplies.
  • Order water and office supplies and monitor inventory.
  • Monitor kitchen supplies and purchase as needed.
  • Perform all other appropriate duties assigned by supervisor.






Knowledge, Skills, and Abilities:

    • Ability to complete assigned tasks and projects in a timely and efficient manner.
    • Ability to answer the telephone and greet visitors courteously and professionally.
    • Demonstrate a working knowledge of all OBT programs and the ability to communicate thisinformation effectively to the public.
    • Ability to maintain office supply inventory to ensure sufficient supplies are always available.
    • Bi-lingual English/Spanish required.
    • Maintaining a high degree of discretion when dealing with confidential information is a must.
    • Strong verbal and written communication skills
    • Has an independent work nature, needing minimal support and supervision; ability to multitask

Education and Experience/Training:
  • A high school diploma or HSE required
  • Proficiency in Microsoft Office Suite (MS Word, Excel, PowerPoint, Access) required.
